Job Description Summary
The Division of Facilities and Real Estate Services (FRES) provides the expertise, business process, policies and standards required to plan, design, construct, operate, maintain and renew the physical assets of the University, excluding the health system. In addition, the Division, comprised of approximately five Departments, is responsible for the strategic planning, management and operation of non-academic University property, and collaborating with the neighborhood to create a safe, diverse and economically vibrant destination. With close to 12M square feet of space, FRES maintains 186 buildings on a campus of 276 acres, completes over 60,000 maintenance requests per year, and starts approximately 250 projects a year. FRES is comprised of the following Departments: Administration, Office of the University Architect, Design and Construction, Real Estate, Operations and Maintenance.

The University of Pennsylvania is implementing a campus transformation entitled Penn Connects (http://www.pennconnects.upenn.edu). This comprehensive, award winning effort is expanding the campus over the next 20 years, including the construction of new academic research and recreational facilities. Job Description

Under the direction of the Sustainability Director, the Sustainability Coordinator focuses on outreach programs and events, sustainability communications, and serves as the main sustainability liaison to student groups, working to embed sustainability practices throughout the Penn community. In collaboration with Facilities and Real Estate Services (FRES) Communications, the Coordinator plays a key role in sustainability communications, maintaining Penn Sustainability's website, coordinating with student interns to implement messaging through social media, and internal and external communications. The Coordinator manages certification programs such as Green Living and Green Office, and seeks new ways to engage and track Penn's sustainability outreach efforts with Penn's Schools and Centers. The Coordinator also supports major sustainability events at Penn, organizes and implements campaigns, leads pre-orientation programming, and works with a wide variety of offices and departments to meet the outreach goals outlined in Penn's Climate & Sustainability Action Plan

Job Duties

  • Coordinate and implement student outreach programs including: Penn Green Pre-Orientation programming, New Student Orientation sustainability efforts, RA/GA training, and other programs as created. Serve as main contact to University Life and other student-facing offices to build partnerships and embed sustainability into the student experience at Penn.

  • Assist the Sustainability Director in the implementation of Penn Sustainability's communications strategy. Coordinate content for all of Penn's communication channels, in collaboration with experts across Penn. Maintain Penn Sustainability's website and work with Penn Sustainability interns to develop and implement content for Penn Sustainability's social media accounts. Track and share website and social media analytics with Sustainability Analyst to utilize data-driven communication strategies. Work closely with communication expert at Penn to continually refine and develop content.

  • Coordinate and implement the Green Living Program. Manage the delivery of the certification, maintain the relevancy of the certification, track and promote the Green Living Certification for Penn students. Work closely with Residential Services and others to embed the Green Living Certification into the student experience at Penn. Track progress and incentives for participation.

  • Coordinate and implement the Green Office Certification program. Manage receipt and review of applications, provide sample policies, and arranging for presentation of signed and framed certificates. Work with offices across Penn to certify spaces, provide guidance on completing the checklist and update the checklist to ensure relevancy and impact.

  • Coordinate and implement sustainability annual events and campaigns including the 30x30 challenge, Earth Week events, Creating Canopy, Community Martin Luther King Jr. Environmental Justice events, Climate Week events and others as needed.

  • Assist in the development of newsletter content, website articles, maintain email lists, and develop internal communications for sustainability-related events and announcements as needed. Write and edit sustainability content for internal and external audiences. Work in partnership with communication professionals from across Penn to gather sustainability-related content to advance and highlight Penn's sustainability efforts.

  • Support various sustainability committees and projects in service of Penn's Climate and Sustainability Action Plan goals. Serve as point person for student groups and attend and support student groups as needed.

  • Manage academic year and summer interns focused on sustainability outreach and communication programs and projects.

  • Coordinate and implement Penn's faculty/staff Eco-Reps programs by scheduling meetings, handling meeting logistics, and managing list serve of participants. Manage communications such as Red Day notification, weather-related initiatives, and seasonal change messaging. Assist with and provide organizational support for Green Teams.

    Qualifications

    Bachelor's Degree and 2 - 3 years of experience or equivalent combination of education and experience is required. Major in Environmental Science / Management preferred.

    This position supports Penn's Climate and Sustainability Action Plan by providing outreach, communications, project management, logistical, and scheduling support for the Sustainability Office. The selected candidate must be able to work collaboratively in a fast-paced, multi-faceted setting, and be capable of handling several ongoing projects simultaneously with limited supervision. Background in environmental sustainability and higher education management is a plus.

    Specific skills / knowledge include:

    Experience with event planning and logistics, scheduling, and promoting events Strong writing and editing skills

    Experience with website content development and maintenance

    Knowledge of social media strategy and communication strategy

    Experience with stakeholder engagement

    Strong project management skills

    Knowledge of operational sustainability initiatives, effective student engagement strategies and a high capacity for organizing collaborative work towards action

    Strong design and presentation skills including use of Adobe, Microsoft Office Suite, and Canvas

    Basic financial skills to manage project and event budgets
