Program Assistant V: Corporate & Foundation Relations

Job Summary:

Reports to the Associate Director of Operations and provides comprehensive administrative support to the Director of Corporate and Foundation Relations (Director) and the Office of Corporate and Foundation Relations (CFR).

Job Responsibilities:

Independently plans, prioritizes and organizes workload for CFR department.

Administratively supports the Director by providing full secretarial support services to the Director and his staff.

Manages calendar, voicemail, expenses, travel, and monitors email for the Director.

Supports CFR team with expense reporting as needed.

Supports scheduling visits and meetings with prospects, donors and volunteers; coordinates with Director and other faculty and staff as appropriate.

Establishes and maintains regular contacts with top level University officials, trustees, faculty, key volunteers and major institutional donors on behalf of the Director regarding University development.

Independently responds to top level University official, trustees, faculty, key volunteers, and major institutional donors and answer questions as needed.

Supports as needed on correspondence for the President of the University, Vice President of Development, Director, and CFR team.

Resolves problems independently. Works independently and within a team on special nonrecurring and ongoing projects; including planning and coordinating events, disseminating information, coordinating mailings and other tasks as needed.

Coordinates details of CFR events (including arranging room reservations and set-up, catering, and purchasing requisitions) and provides on-site registration at such events as needed.

Assists with managing and organizing the CFR team data (i.e. contact reports, visits, etc.).

Creates and/or edits proposals, reports, and supporting documentation as needed.

Prepares important documents for university or outside organizations use and is responsible for processes affecting other areas of the university (i.e. expense reports, electronic time cards, etc.).

Serves as a supplemental research resource for CFR, at times preparing prospect research, detailed research profiles and briefings for institutional donor meetings.

May supervise student workers.

Supports CFR events as needed.

Will serve as the office coordinator and on behalf of the manager in his/her absence.

Sets up, maintains and revises electronic files as appropriate for specified areas of responsibility.

Types, copies, distributes, and files meeting minutes, memos, correspondence, and reports.

Handles sensitive confidential and non-routine information and explains policies when necessary.

Performs other duties as needed.

Minimum Requirements:

Post high school education preferred
Training or experience equivalent to five years of increasingly responsible work experience in a senior support role or related education
Demonstrates strengths in the areas of service and team skills; including evidence of ability to work independently and in close conjunction with others
Demonstrates ability to handle multiple assignments and deadlines accurately under pressure and to prioritize tasks related to same
Experience dealing with a variety of people in a professional manner
Exceptional written and oral communication skills
Excellent word processing and proofreading skills; including grammar, spelling and oral communication skills
Extensive experience with computer systems and skills including Microsoft Office Suite
Experience with Google products (Docs, Sheets, Slides)
Familiarity with SalesForce preferred; willingness to learn new database required
Experience in donor research tools and reporting preferred, not required
Knowledge of office record keeping systems
Willing and able on occasion to perform duties evenings and weekends
Ability to use tact and diplomacy in dealing with confidential matters
Willingness to work in a Jesuit Catholic environment
