DESCRIPTION

Mendocino-Lake Community College District is currently accepting applications for an Executive Assistant II to our Superintendent/President.

The Executive Assistant II to the Superintendent/President is responsible for providing comprehensive support to the President, serving as a liaison to the Board of Trustees, and managing the executive office operations. Reporting directly to the Superintendent/President, the Executive Assistant II provides executive support in a one-on-one working relationship. The Executive Assistant II serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President.

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Executive Assistant II must have the ability to work independently on tasks and projects, from conception to completion, and thrive in a multi-faceted role which requires the ability to handle a wide variety of activities and confidential matters with discretion.

SALARY AND BENEFITS

The salary range (15) is $79,583 - $96,733 annually. There are five annual step movements; initial placement will be at step 1, unless approved by the Superintendent/President.

Benefits: With no monthly premium contribution from the employee, we offer a comprehensive benefits package that includes family medical, dental, vision, EAP benefits and employee life insurance. Additional voluntary life insurance is available for employee purchase. Benefits are effective the first of the month following hire date.

Holidays and Paid Time Off: The successful candidate will earn twenty-one (21) days of vacation and twelve (12) days of sick leave per year. Vacation leave increases with the length of service. There are twenty (20) paid holidays annually.

Retirement: This position is eligible for CalPERS Retirement.


REPRESENTATIVE DUTIES

The successful candidate will support institutional processes, staff, and faculty with completion of the following duties:

  • Assists with administrative matters, including confidential issues such as legal and collective bargaining/meet and confer information; exercises discretion and independently performs a wide variety of duties in support of the Superintendent/President.
  • Serves as a liaison between the Superintendent/President and faculty, staff, students and the public; receives visitors and telephone calls, makes referrals as needed; provides information and assistance regarding District programs, policies, procedures, rules and regulations; resolves questions and issues; interprets and applies rules and regulations as appropriate; establishes and maintains positive staff and public relations.
  • Collects and analyzes information; makes recommendations; completes special projects; obtains information from college legal counsel as directed; maintains and monitors schedules and calendars; coordinates activities/events; maintains the college organizational chart.
  • Supports the Superintendent/President in scheduling and making arrangements for face-to-face and virtual meetings, including committee meetings, meetings with other agencies and internal staff meetings.
  • Assists with the completion of reports and surveys as requested from external agencies.
  • Act as a liaison and provide support to the Board of Trustees. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Advises the Superintendent/President and Board of Trustees regarding public meeting sections of the Government Code; assists the public in viewing Board documents according to the Public Records Act.
  • Maintains Board policies and administrative procedures on District website; works with staff and Board to revise policies as needed; keeps historical records of policies and procedures; distributes new and revised policies and procedures to college staff.
  • Assists with elections work related to the Governing Board; researches laws, regulations, and other information pertaining to the appointment and election of Board members; completes and distributes related forms and reports.
  • Serves as district filing officer for the Statement of Economic Interest required of
    designated public employees; supplies Board members and staff with forms and information; submits and retains documents as prescribed by law.
  • Takes, prepares, and disseminates meeting notes for the Planning and Budgeting Committee and the President's Policy Advisory Committee.
  • Assists in the development and maintenance of the annual budget for the Office of the Superintendent/President and the Governing Board.
  • Verifies, records and compiles a wide variety of information and data for reports and other purposes; develops spreadsheets, databases and other computerized information/documents; performs budget recordkeeping for the Office of the Superintendent/President, and assists in preparing the annual program review documents.
  • Composes and prepares correspondence; makes travel arrangements; establishes and maintains filing systems; maintains an inventory of office supplies and other materials; opens and distributes mail; attends meetings and workshops; serves on committees as assigned; supervises student employees; performs other related duties as assigned.

PHYSICAL AND MENTAL STANDARDS:

QUALIFICATIONS

MINIMUM QUALIFICATIONS:

Must meet Human Resources guidelines for qualified hiring; including but not limited to a Live Scan background check and completion of TB Test.

Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, geographic and ethnic backgrounds of students, staff, and faculty.

This classification may require the use of a personal vehicle while conducting District business. Must possess a valid (Class C) California Driver's license and an acceptable driving record.

EDUCATION QUALIFCATIONS:
Associates Degree & 2 years of full time work experience in a related field.

Education/Experience Equivalency: Experience and/or education of the same kind, level or amount as required in the minimum qualifications may be substituted on a year-for-year basis.
