Job Summary:

This position serves as the primary administrative and data management support professional for the Liberty Partnerships Program, reporting directly to and working closely with the Project Director. The Program Assistant / Data Coordinator serves as the office manager at the project's home base at SUNY Fredonia. This position serves as the frontline presence in the project office, coordinating internal and external communications and interfacing with campus procedures.

The Program Assistant / Data Coordinator serves as the lead for data management and curation, maintaining project documentation in accordance with applicable retention policies for current and historical records. This position also serves as the technical lead and support resource for project staff and is responsible for maintaining compliance with FERPA, NYSED, SUNY, and Research Foundation requirements regarding data security, confidentiality, and records management.

Job Duties:
  • Manages office functions, including (but not limited to) digital and physical file maintenance.
  • Serves as the project point person in integrating office functions with campus procedures (e.g., phones, e-services, records security, office access, and supplies acquisition).
  • Serves as the first point of contact for the project office, coordinating communications among partner districts, the campus, and the community at large.
  • Works with project staff on the compilation and dissemination of internal and external communications to project stakeholders and community partners.
  • Conducts visits to participating districts, as needed, for the collection of records, distribution of supplies, and assistance to project staff.
  • Assists project staff in meeting Research Foundation post-award documentation requirements.
  • Provides assistance to project staff in compiling and submitting external funding applications.
  • Serves as project lead for documentation inventory and records curation for internal project use, NYSED reporting, and Research Foundation standards, including completion of annual Interim and Final Reports.
  • Maintains priority project workflow documentation in coordination with the Project Director.
  • Assists the Project Director in full participation in the Liberty Partnerships Program network.
  • Assists the Project Director in developing digital documents and workflows utilizing Adobe Acrobat Sign.
  • Participates in relevant statewide and regional Liberty Partnerships Program professional development activities.
  • Maintains project supply inventories and distributes supplies to project staff.
  • Conducts post-hoc outreach to project graduates in response to NYSED requests.
  • Coordinates data inputs from partnering districts and compiles required NYSED reports.
  • Coordinates with NYSED on data platform utilization and training.
  • Coordinates with NYSED and project staff on local data collection procedures, reporting, and dissemination.
  • Provides regular updates to district leads and the Project Director on data collection benchmarks relative to the NYSED work scope.
  • Coordinates with partnering districts on the maintenance of student files consistent with NYSED requirements.
  • Maintains compliance with FERPA, NYSED, SUNY, and Research Foundation requirements regarding student records, data security, confidentiality, and records management.
  • Serves as the technical lead and support resource for project staff.
  • Assists with maintaining and updating the LPP Fredonia website and other approved digital communication platforms.
  • Serves on a minimum of one statewide Liberty Partnerships Program committee.
  • Travels to participating districts and partner locations, as needed, to support project operations.
  • Completes mandated training required by participating districts, SUNY Fredonia, the Research Foundation for SUNY, and NYSED.
  • Performs other duties as assigned in support of program operations.

Qualifications:

Required Education and Qualifications:
  • Three or more years of progressively responsible office experience.
  • Demonstrated competency with a variety of computer software applications.
  • Ability to work independently and manage multiple projects and tasks.
  • Strong verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to maintain confidential information and handle sensitive data appropriately.
  • An equivalent combination of education and experience will be considered.

Preferred Education and Qualifications:
  • Associate's degree or higher.
  • Prior experience in office management.
  • Proficiency with Microsoft 365 applications.
  • Proficiency with Google Workspace tools.
  • Experience with Adobe Acrobat and Adobe Acrobat Sign.
  • Experience with student data systems, database management, records management, reporting platforms, or website content management.
  • Experience working in an educational, nonprofit, grant-funded, or public-sector environment.

Salary Range: $38,000-$41,000 depending on a variety of factors that may include but are not limited to experience, education, training, certifications, and internal equity.
