Within the Department of Ophthalmology at the Medical College of Georgia, our top priority is the provision of thorough and compassionate patient care. Within our department you will find doctors who are interested in matching your concerns with accurate diagnoses and treatments. We seek not only to provide the right treatment, but also to educate you in regard to your condition so that you too may be involved in its management. Our educational mission is broadly focused. Upon completion of the 3 year course of instruction our residents are able to enter comprehensive ophthalmic practice or pursue fellowship training. Through continuing medical education activities the local ophthalmic community as well as our team of eye care providers are given opportunity to discuss and implement recent advances in the medical and surgical care of the eye.'
Job Summary
The candidate selected for this position will work on the Health Sciences Campus and assist with daily office operations by providing administrative support to department administration, faculty, residents, staff, patients and students by completing a variety of tasks including but not limited to scheduling meetings, taking minutes, coordinating travel, serving as timekeeper, maintaining repositories of various documents including recruitment documents, assisting with the ordering of supplies and office/research/clinical equipment/assets, serving as a key resource for policies, and ensures positive customer service environment for patients, students, and staff, requiring strong organizational skills and proficiency in MS Office, and other duties as related to core responsibilities as needed.
Responsibilities

Serve as contact for visitors of the administrative suite of MCG-Department of Ophthalmology and provide guidance for visitors as needed. Serve as the coordinator for the administrative suite and is the primary point of contact for facilities.
In the absence of an existing PCard holder, will be required to serve as department PCard holder which requires monthly reconciliation of expenses.
Manage and maintain space and supply inventory by order/maintaining supplies and arranging for and tracking access to offices and laboratory space by serving as key/code manger and assigning spaces with guidance from leadership.
Assist in the day-to-day operations of the MCG - Department of Ophthalmology by providing primary and/or backup administrative support as needed including coordinating travel arrangements and preparing documentation for reimbursements for faculty and staff travelers.
Manage calendars and coordinate meetings on behalf of the faculty and leadership.
Provide administrative support, including but not limited to faxing, maintaining files, organizing the office, preparing documents, maintaining confidential files, and distributing incoming correspondence and mail management.
Provide support for department events including graduation, faculty meetings, and other events.
Serve as primary time approver by reviewing, correcting, and approving time in OneUSG.
Required Qualifications
Associate Degree with a minimum of six years of progressively responsible office support experience.
OR
High School Diploma/GED required, with a minimum of nine years of progressively responsible office support experience.
Preferred Qualifications
Experience using basic applications in the MS Office suite of applications including but not limited to Word, Excel, PowerPoint, etc.
Experience using office switchboard and coordinating travel as needed for faculty, staff, etc.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational, and written and verbal communication skills.
ABILITIES
Ability to maintain a high degree of confidentiality.
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, keep accurate records and make independent decisions.
Ability to demonstrate initiative, organization, flexibility, and proven problem-solving abilities
Ability to work independently; prioritize and manage numerous functions/activities/tasks simultaneously, complete work and meet deadlines, exercise sound judgment, and make responsible professional decisions.
Ability to apply discretion in all communications and actions to ensure professionalism at all times, including in stressful situations.
Shift/Salary/Benefits
Shift: Days; Monday - Friday (Work outside of normal business hours may be required).
Salary: $17.88-$21.92 per hour.
Pay Band: B5
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
This position is (fully/partially) funded through external sources. Continued employment is contingent upon the availability of these funds.
