Job Summary

The Administrative Assistant 3 provides executive level administrative support to the Dean of the College of Education and Human Development and serves as the first point of contact, responds to a wide variety of situations in a timely manner, and represents the office in the highest professional manner.

Responsibilities

The duties include, but are not limited to:

EXECUTIVE LEADERSHIP ADMINISTRATIVE SUPPORT: Serves as the primary point of contact for all meetings and events for the Dean of the College of Education and Human Development and senior level staff. Maintains the calendar for the Dean. Assures accurate and efficient appointment scheduling. Assist with travel arrangement-for enterprise leadership including preparing / reviewing travel requests, authorizations, expense reports, process registrations and assist with making airline reservations, if needed. Tracks reimbursement and logs receipts ensuring comprehensive travel records are maintained in accordance with internal audit requirements.

DEAN'S OFFICE ADMINISTRATIVE SUPPORT: Fields telephone calls responding with information when needed or referring calls to appropriate resources, when necessary, routes messages accurately and appropriately. Serves as first point of contact for the office for all visitors, reviews, and routes mail. Compose, edit, format and type letters, memorandums, reports, charts, requisitions, and emails; Proofread documents, maintain files, records, and computerized databases. Accurately files documents for future retrieval.

BUSINESS ADMINISTRATIVE SUPPORT: Provides administrative support to the Business Operations Manager with purchase requests, check requests, IDRs, faculty and staff awards, and any payments or reimbursements that are issued from the Dean's Office. Maintains Dean's Office P- Card. Maintain Dean's Office Catering and Vender Accounts. Manage scholarship awards from beginning to end. Creates, routes, and maintains all MOU's for the College. Orders & stocks office supplies for Dean's Office and College events. Serves as the Asset Control Officer for Dean's Office. Provides support for new hire on boarding, creates system access requests, key requests, Computer setup requests, and phone setup requests.

COEHD ADMINISTRATIVE SUPPORT: Manages rooms, meeting and event logistics for the College. Responsible for ensuring compliance with all applicable state and institutional policies. Perform all other related duties as assigned.

OTHER: Perform all other duties as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience

OR

Associate's degree from an accredited college or university and five years of directly applicable experience

OR

High school diploma or GED from a State or Federal accrediting organization and eight years of directly applicable experience

Preferred Qualifications

Experience in a higher education environment. Experience with AU policies and processes in the area of grants, purchasing, and travel.

Knowledge, Skills, & Abilities

KNOWLEDGE

Proficient in Microsoft Office and other computer software/databases.

Solid working knowledge in cataloging and file organization/maintenance.

SKILLS

Must be flexible and able to exercise sound judgement

Excellent interpersonal, written and verbal communications skills.

Detail oriented with strong organizational, prioritization and multi-tasking skill

ABILITIES
Ability to maintain confidentiality, complete work and meet deadlines.

Conditions of Employment

All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.

If applicable for the specific position based on the duties: the candidate will also need to have a credit check completed for Positions of Trust and or approved departmental Purchase Card usage.

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.

For Faculty Hires: Final candidates will be required to provide proof of completed academic degree(s) as well as post-secondary coursework in the form of original transcript(s). Those candidates trained by a foreign institution will also be required to provide an educational/credential evaluation.
