Job Description:
What We Are Looking For

The Wesley House of Studies in Truett Seminary is seeking an Office Manager. The Office Manager at Truett Seminary Wesley House will provide support through the daily task of office administrative functions. This role will provide the highest level of customer service to Students, Guests, Faculty, & Staff. The office manager will also work with their supervisor to increase office efficiencies.

A high school diploma and three years of relevant work experience are required. An Associate's degree and five years of relevant work experience are preferred. A combination of education and work experience will be considered in lieu of one another.

Additional requirements include:
  • Knowledge of office management responsibilities, systems, and procedures
  • Strong interpersonal skills and an understanding of the different needs of faculty, staff, and students
  • Excellent time management skills
  • Ability to multi-task and prioritize work

All applicants must be currently authorized to work in the United States on a full-time basis.

What You Will Do
  • Manage scheduling, calendaring, and appointments for the director
  • Assist the director with administrative tasks, including financial receipt submission, booking travel, and coordinating meeting spaces
  • Oversee and delegate tasks to staff members based on the director's guidance and priorities
  • Collaborate with the Program Manager, Coordinator, and Abraham Chair as needed, ensuring alignment with the director's vision
  • Track and manage the status of prospective, current, and in-process students, ensuring the director stays informed and engaged with their progress
  • Facilitate communication and provide support to students, acting as a resource to help maintain strong relationships
  • Develop fluency in key institutional systems such as Slate, Navigate, Concur, Quartz, and Ignite for administrative and student management tasks
  • Schedule and manage Wesley House weekly team meetings and monthly Wesley House Support Team meetings, utilizing the FSI conference room
  • Coordinate and manage recruiting travel for the director and other Wesley House staff members, including booking travel and lodging
  • Assist with room reservations for weekly Waco chapel and monthly chapel services in Houston
  • Field phone calls through Microsoft Teams and emails directed to the Wesley House, distributing inquiries to the appropriate staff members
  • Perform all other duties as assigned to support Baylor's mission
  • Ability to comply with university policies
  • Maintain regular and punctual attendance
