Facilities Services Division provides quality customer service by maintaining a safe, healthy, and aesthetically pleasing environment in which students, faculty, and staff can function and accomplish their educational objectives and by supporting a patient care culture that continuously improves. Facilities Services' responsibilities include Interior and Exterior Facilities Support, Construction, Space Management, and Environmental Services.

Job Summary

Provides primary administrative support for the Director of Facilities Operations and the five (5) Operations Managers. Manages office operations, serves as the first point-of-contact, creates management reports and works independently on ongoing and special projects. Exercises discretion and occasionally deals with information of a sensitive and confidential nature. Responds to a variety of situations in a timely manner, utilizes the Maximo work order management system to collect and analyze data, initiate and track Work Orders and create reports. Manages time entry in OneUSG, continuously provides a high level of customer service and represents the office in the highest professional manner. Provides assistance for Operations staff related to paperwork for ordering parts, tools, office supplies and miscellaneous materials for the completion of Work Orders and small projects. Responsible for scheduling and coordination of meetings for the Director Facilities Operations including coordination and management of occasional travel. Ensures that the office operates in a professional, efficient and organized manner.

Responsibilities

The responsibilities include, but are not limited to

Administrative Support

Provides primary administrative support for Facilities Operations leadership.

Maintains calendars, answers calls and emails.

Schedules and assists Director's meetings (both virtual and in-person)

Maintains files and confidential information

Data Collection

Assists with collection of operations' performance data and effectiveness metrics from the 'Maximo' Work Order management system.

Utilizes metrics to create and prepare reports for the Director related to all areas of service performed by the Facilities Operations.

Develops and maintains organizational charts for the entire Facilities Operations organization.

Exercises considerable discretion concerning the handling of sensitive and confidential information related to staff and projects.

Staffing

Assists Director in all phases of staff recruitment including preparing Position Classification Forms, scheduling, interviews and communicates with potential candidates.

Utility Reporting

Assists with preparation of utility reports by collecting and compiling data, issuing reports and processing related paperwork.

Other Functions

Prepares presentations utilizing Excel spreadsheets, Powerpoint presentations

Managers 'Maximo' work order management data and other MS Office software.

Assists Operations' Managers and Supervisors in select administrative functions such as scheduling meetings,

completing paperwork to order supplies and materials, meeting preparation and communication efforts.

Other Duties as Required

Performs other duties and special projects as assigned including providing support to other AU organizations and events.

Required Qualifications

Educational Requirements

Associate's degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience; or a high school diploma/GED from a recognized state or federal accredited organization and seven years' progressively responsible experience in administrative support positions

Other Required Qualifications

Valid Drivers License to operate AU vehicles

SKILLS

Managing the Director of Facilities Operations schedule including multiple schedule corrections. This position must balance the needs of the person making the request with the existing demands of the Director position requiring a high degree of professional judgment, tactful communication and negotiation skills.

Must be able to communicate effectively (over the phone as well as in person) and have memory for details (to forward information both verbally and written or electronic communication). Must be able to handle several tasks at once yet prioritize them in order of importance and provide a high-level of customer service.

Shift/Salary/Benefits

Shift: Days/M-F

Pay Band: 5

Salary Range: $17.88/hour - $21.92/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
