What We're Looking For
Within the Office of Access and Learning Accommodation, this role will serve as the initial contact for in-person guests, emails, or callers. They will greet, route, and/or resolve information requests in a high traffic office to support the access and implementation of accommodations for students with disabilities. The role will promote a professional environment with excellent customer service while being a reference point on interpretation, clarification, and guidance related to OALA services. They will also provide clerical and administrative support for daily or routine office activities to effectively support OALA team members and processes.
An associates degree and three years of relevant work experience are required. A bachelors degree and five years of relevant work experience are preferred. A combination of education and experience will be considered in lieu of one another.
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do
Serve as the initial contact for in-person guests, callers, emailers, and stakeholders
- The role will engage visitors and approrpiately triage and refer community members to specialists, testing center, campus resources, or guide them through OALA processes. This happens through fielding in-person inquiries, phone calls, and emails, specifically managing the OALA email inbox. The role will recieve support from directors in OALA to assist them with responding to and drafting emails and memos to correspond with faculty, students, staff and other campus partners as needed regarding the accommodation process. This requires an ability to deal effectively with a wide variety of individuals during high volume seasons that requires tactful handling of a broad range of situations in an effort to provide a positive and supportive experience.
Provide clerical and administrative support for daily or routine office activities
- Maintain regular and confidential files including uploading digital and physical files of medical and academic records to OALA software and database to support processing of student cases. Make routine updates to excel files, reports, and other documents in order to maintain up to date information. Provide ad-hoc information or filter through OALA email and files to have readily available information on a scheduled basis or as requested by the OALA team or directors.
Support programatic efforts by assisting specalists and directors with planning logistics
- With coordination and support with the directors, the role will assist with program planning and related logistics, including catering, room reservations, scheduling, invitations, RSVPs, and office orders when needed. This includes supporting the OALA team and directors with maintaining office inventory related to major events, specifically mid-terms, finals, OALA team events, and other programatic efforts. This may involve working with OALA leadership to coordinate logistics with other departments, campus partners, staff, and students to ensure success of program and events.
Professional development and training from OALA leadership
- Engage in profession development and training from OALA leadership and from other disability and student affairs professional organizations to stay current in office policies, processes, and best practices. This role is expected to proactively communicate any gaps in services, knowledge, and processes they identify in order for OALA staff and leadership to remedy these or provide any necessary support to ensure compliance with ADA as well as meet the mission, vision, and goals of OALA.
