Job Summary:
The Student Affairs Program Assistant reports to and supports the Assistant Dean for Student Affairs, and works collaboratively with the Assistant Director for Student Affairs. The Office of Student Affairs provides mission-based, student-focused programs, events and activities, student surveys for assessment, and administration of certain scholarship and grant programs. The Program Assistant supports these functions of the Office, manages communications to students, and serves as a point of contact for student groups at the School of Law. The position also provides reception and general administrative support in the Deans' Office, and it requires a focus on customer service, efficiency, and excellence.

Job Responsibilities:

Administrative Support

Provide administrative support to the Assistant Dean for Student Affairs and Assistant Director for Student Affairs, including but not limited to scheduling appointments, copying, maintaining files, and updating and proofreading documents.

Student Affairs Program Support
  • Responsible for the coordination of and communication about student services and resources.
  • Provide program administrative support, including but not limited to scheduling, marketing, and website updates for the following initiatives:
    • Pro Bono
    • Public Interest and Social Justice
    • Anti-racism, Diversity, Equity, and Inclusion
    • Wellbeing
    • Scholarship Programs administered by Student Affairs
    • Loan Repayment Assistance Program.

  • Provide administrative support for the McAuliffe Honor Society, including assisting with fall and spring receptions and additional programs, as needed.
  • Provide administrative support for scholarships and grant programs administered by the Office of Student Affairs.
  • Maintain and update Student Affairs bulletin boards as needed.
  • Facilitate student services surveys or projects, including but not limited to:
    • Law School Survey of Student Engagement (LSSSE)
    • New Student Orientation Survey.


Student Organization Support
  • Serve as the primary contact for student organizations at the law school.
  • Tasks include: maintain the student organization contact list, assist with updates and preparation of the student organization handbook, ensure compliance with all School of Law and University policies, coordinate the student organization training sessions, monitor student organization bulletin boards, manage booking space and ordering catering, manage student organization finances, and respond to general inquiries.


Student Affairs Event Support
  • Serve as the main administrative coordinator for the Office of Student Affairs events and work independently to oversee event logistics (including event planning, social media, event promotion, room set-up/clean-up, catering, AV, and IT) and coordinate with departments and offices on main campus and at the law school as needed.
  • Provide assistance to the Office of Student Affairs for large-scale events and programs, including, but not limited to, New Student Orientation, the Public Interest Law Foundation fundraising events, Wellbeing Week, Diversity Week, Finals Support, and Commencement.
  • Provide support, such as managing vendor contracts, for large annual SBA events and programs.


Deans' Office Support
  • Responsible for weekly events and announcements emails to students, faculty, and staff.
  • Together with the Assistant Director for Student Affairs, oversee law school's master events calendar, including review and confirmation of all Student Bar Association student organization postings.
  • Responsible for handling School of Law website edits and updates for current student organization web pages.
  • Maintain a welcoming environment in the Deans' Office and summarize key functions of the office for newly-admitted student tours.
  • Work as a team with other support staff in the office to cover the phones and reception. Complete other duties as assigned.


Minimum Requirements:
  • Understanding and commitment to USF's mission, vision, and values
  • Post high school education is strongly preferred
  • Five years of increasingly responsible experience in senior administrative support work
  • Experience with or the ability to work effectively with a diverse student body, faculty, and staff. Strong equity lens, cultural humility, and proven ability to work well in a diverse context
  • Experience planning events
  • Experience producing high-quality, grammatically correct, and error-free writing, and have advanced proofreading skills
  • Capacity to produce technically complex documents, including surveys, charts, flyers, and graphics
  • Ability to attend certain planned events that occur outside of regular business hours
  • Proficiency in Microsoft Office Suite applications.

  • Proven customer service skills, including the ability to help resolve conflicts
  • Excellent attention to detail
  • Ability to effectively organize and manage workload
  • Ability to work independently and autonomously to complete recurring responsibilities
  • Knowledge of general office procedures, standards, and equipment
  • Ability to lift 20 pounds
  • Additional duties as assigned.

Salary Range :
$34.00/hour
