INSTAAR at the University of Colorado Boulder encourages applications for an Operations Coordinator! The selected candidate will be a key member of the administrative team here at INSTAAR, who will support the Office of the Director, Finance team, Communications team, and Information Technology. This role will provide oversight of the Front office processes, collaborating with the Finance and Operations Director and INSTAAR Director on a variety of tasks while supporting INSTAAR achieve its inclusion goals.

What Your Key Responsibilities Will Be
Administrative Management
- Supervise any student interns or temps.
- Support hiring of tenure/tenure track faculty, including scheduling visits.
- Manage INSTAAR events, including coordinating volunteers and posting to website.
- Maintain INSTAAR front office email, process Federal Express requests, and assist with other mailing options.
- Maintain mailroom, mail distribution, and general office supplies.
Directorate/ExComm/Affiliate Management
- Support Directorate/Executive Committee scheduling and voting.
- Manage the preparation of confidential materials for (re)appointment, tenure, and promotion of INSTAAAR personnel.
- Manage meeting minutes for Directorate and Executive Committee meetings.
Operations Management
- Work with the Associate Directors of INSTAAR to manage space allocation of offices, labs, and open-work spaces.
- Serve as INSTAAR point of contact for building needs.
- Connect with the Office of Contracts and Grants and CU Property Services on disposals and transfer of equipment. Maintain an inventory list of capitalized and non-capitalized equipment tags.
- Process and deliver checks/cash receipts received by the finance team to the CU Bursar's office.
- Process Key requests, Buff OneCard door access, and parking permits.
What You Should Know
- This position is in a hybrid work situation, at least two in-person days per week required, though more in-person days preferred.
What We Can Offer
$60,000-$66,000.

What We Require
- Bachelor's degree or equivalent experience. Professional experience or an equivalent combination of education and experience may substitute.
- One year of related experience.
What You Will Need
- Ability to initiate and complete critical tasks and to self-manage time and workload, proactively communicating with supervisor.
- Proficient computer knowledge and skills with Adobe Acrobat and MS Office applications, particularly with Outlook, Word, Excel and PowerPoint.
- Ability to communicate effectively with a variety of professionals, administrators and students.
- Ability to maintain effective and professional relationships with staff and community members.
- Demonstrated ability to exercise discretion and work independently.
- Demonstrated ability to work effectively in a team and within other collaborative work situations.
- Proficiency with creating and maintaining spreadsheets.
- Proficiency with electronic file management.
