College/Department Information

The mission of the Augusta University Police Department is to promote a safe atmosphere in which the university's teaching, discovery, clinical care and service mission can be successful. This is accomplished through traditional and progressive law enforcement practices and strong community partnership.

Job Summary

This position accomplishes budget actions, purchase actions and personnel actions regarding the operation of the division, with the approval of the Business Manager. Performs, coordinates and manages technical and office administrative duties in support of the division; processes paperwork files, coordinates vehicle preventative maintenance assignments, makes travel arrangements, prepares/submits purchasing and travel paperwork, prepares reports, processes weekly supply inventory. Processes payroll for the division.. Serves as back up for campus contractor ID Badging and Key Control. Responsible for internal and external client invoicing, cost tracking and file maintenance.

Responsibilities

The duties include, but are not limited to:

Implement administrative procedures; assist in designing forms and reports, establish record maintenance systems, audit records for accuracy, completeness and effectiveness, review the work of others to ensure compliance with procedures.

Provide administrative support to Public Safety and Police, including being timekeeper for OneUSG payroll system, entering and recording purchase order information into PeopleSoft financials, and processing/maintaining travel paperwork for department employees. Assist with making travel arrangements as needed.

Administrative support Assistant VP/Chief of Police as needed.

Process applications, forms and other documents, review information for accuracy and completeness, obtain additional information by personal or telephone inquiry or by correspondence, check policy or other references to verify, add or code information.

Answer phones and transfer to appropriate personnel. Compose correspondence, contracts or other documents.

Provide information concerning assigned projects or programs, assist in the development of brochures and other written materials; respond to telephone and written inquiries.

Prepare routine and special reports; obtain and compile information; perform calculations, develop narrative information or graphic displays.

Arrange for and schedule appointments, meetings and special functions. Make travel arrangements and process travel paperwork for division staff as necessary.

Perform a variety of duties involving budget, personnel, procurement and other administrative functions in support of assigned project or program. Up to and including monthly monitoring of budget reports, special events billing, cost transfers and payroll reconciliations.

Perform all other related duties/tasks as assigned.

Required Qualifications

Educational Requirements

Associate's degree from an accredited college or university in a related field and four years of progressively responsible experience in administrative support positions

OR

High School diploma, GED, or equivalent from a recognized state or federal accrediting organization and seven years' progressively responsible experience in administrative support positions

Bachelor's degree from an accredited college or university and previous administrative experience in an office or academic setting.

Knowledge, Skills, & Abilities

ABILITIES

Excellent interpersonal, written and verbal communication skills

Proficient in Microsoft Office and other computer software/databases

Ability to maintain confidentiality, work independently and exercise discretion

Detail-oriented with strong customer service, time management, supervision and organizational skills

Shift/Salary/Benefits

Shift: Days/M-F

Pay Band: 5

Salary: Minimum $17.88/hour - $21.92/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment

All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.
