Position Summary

Reporting to the Director of University Conference Services, the Conference Services Manager supports the planning and execution of events hosted by both internal departments and external clients, including summer conference operations.



This role plays a vital part in driving revenue through external client services. The manager is responsible for developing client relationships, overseeing logistical planning, and aligning services with the University's mission and financial goals.



This position requires travel to other university campuses and a flexible schedule, including evenings, weekends, and extended hours during peak seasons.



Essential Functions

  • Develops and executes strategies to attract and retain clients, increasing facility usage and revenue.

  • Identifies and pursues opportunities with corporations and develops relationships with external neighborhood institutions.

  • Responds to rental inquiry requests including arranging campus tours for prospective clients.




Event Planning & Client Relations

  • Serves as a liaison for internal and external clients from initial inquiry, conduct site visits to post-event follow-up.

  • Manages all aspects of event logistics, including time sensitive changes and ensuring seamless execution.

  • Assists and coordinate summer conference operations, collaborates with campus departments to allocate resources effectively.

  • Provides on-site support for events, working closely with campus departments to ensure readiness and address logistical needs.

  • Assists with contract preparation, insurance requirements verification and invoicing.




Special Projects & Operational Support

  • Film and Photo Shoots: Supports initial inquiry from scouts, conduct site visits, and on-site coverage.

Management Responsibilities

Guides work of other employees who perform essentially the same work and/or student workers. Organizes, sets priorities, schedules and reviews work, but is generally not responsible for final decisions in hiring, performance management or compensation.



Additional Functions

  • Develops ongoing relationships with custodial, security, and outside vendors to ensure effective communications as it relates to the successful outcome of an event.

  • Assists with other University events, such as Jesuit Ordinations.




Required Qualifications: Education and Experience

  • Bachelor's degree in a related field required.

  • Minimum of three years' related experience in Conference Services, Hospitality Management, Event Planning, or a related field.




Required Qualifications: Knowledge and Skills

  • Mastery of the Microsoft Office Suite.

  • Demonstrated effective communication and interpersonal skills.

  • Proven ability to plan for and manage multiple projects independently and effectively, ensuring deadlines are met.

  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.




Minimum Starting Salary: $80,000



Maximum Starting Salary: $90,000



Note: Salary is commensurate with qualifications, experience, and skills.
