College/Department Information

The Medical College of Georgia Department of Physiology's focus is the framework of the body's cells, organs and systems, how they work, and how abnormal function leads to disease. The department is dedicated to outstanding research and excellence in education. Our federally funded scientists study some of the nation's top killers like cardiovascular disease and hypertension, and train independent, creative, productive scholars and PhD graduates, who publish in top tier journals and who are competitive for positions wherever they choose to go. The department offers programs leading to the PhD degree. By virtue of their interdisciplinary training, the department's graduates compete successfully for positions in medical schools, universities, government, and industry.

Job Summary

This position will primarily perform specialized business services related to managing a large grant program(s) in the Department of Physiology. Key areas of responsibility include, but are not limited to, budgeting, allocation of expenditures, reconciliation of accounting reports, compliance oversight, development and submission of various grant documents (progress reports, Just-in-Time documents, etc.), as well as providing administrative support to the program.

Responsibilities

Responsibilities to include but are not limited to:

GRANTS MANAGEMENT: Assist with tracking of grants and awards. Aid the faculty in interpreting award terms and conditions. Serve as a resource to administration, trainees, and faculty in the preparation, development, review, and submission of grant and contract proposals. Serve as primary contact with pre- and post-award (Division of Sponsored Programs) on grant and contract related matters. Advise faculty on strategic budget development and long-term planning. Prepare and develop progress reports, competing renewals, contract and grant close-out reports, as well as just-in-time information and other grant documents. Prepare grant related documents in federal and private electronic research administration systems such as ASSIST and Proposal Central. Ensure compliance with federal, state, and agency regulations regarding all aspects of pre- and post-award administration.

ACCOUNTS MANAGEMENT: Manage grant, research incentive, and startup accounts. Approve grant expenditures according to direct charging policy; approve startup expenditures according to state/AU policy; approve research incentive expenditures according to MCGRI policies; reconcile accounts monthly and take appropriate action to correct any errors. Prepare and maintain documentation related to cost transfers, budget amendments, and fund statements. Ensure payments are issued for invoices and check requests, and ensure deposits are applied correctly in the AU PeopleSoft financial system and reflected in the financial reports.

ADMINISTRATIVE SUPPORT: Process p-card allocations in the Works Payment system; assist with the procurement of supplies and equipment, prepare grant program materials for meetings, coordinate meetings as requested, correspond with stakeholders regarding programmatic matters.

PERSONNEL: Assign personnel to accounts in accordance with budget and award terms; work closely with the Department Administrator to ensure personnel actions to update the salary distributions are submitted in a timely manner; review effort monthly via the pre-payroll report and indicate what corrections are needed. Review effort for faculty in the Effort Reporting System quarterly to ensure cost sharing is tied to the appropriate grant/s and faculty and staff certify their effort.

DATA ANALYSIS: Interpret data for the purpose of determining past financial performance to develop and prepare financial reports for financial analysis, forecasting, and trending. Devise financial reporting tools and reports. Review and analyze data to solve any discrepancies and escalate serious concerns so that appropriate action can be taken. Serve as primary contact with post award on grant related matters and with the Research Institute for incentive related matters.

OTHER: Perform other related duties and complete special projects as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university in business or related field with three years of experience in business, finance, accounting or other related field.

Preferred Qualifications

Budgeting and grants management experience.

Knowledge, Skills, & Abilities



Proficient in Microsoft Office and other computer software/databases.

SKILLS

Excellent interpersonal, written, and verbal communication skills. Detail-oriented with strong prioritization and organizational skills.

ABILITIES

Ability to maintain confidentiality. Ability to work independently with only general supervision under tight timelines.

Shift/Salary/Benefits

Shift: Days; Monday - Friday (Work outside of normal business hours may be required).

Salary Range: $56,600-$72,200 annually.

Pay Band: B11

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
