Department Information
DEPARTMENT SPECIFIC TASKS AND RESPONSIBILITIES:
1. Management of travel reimbursement disbursements, vendor and campus relations
2. Manages company card transactions through electronic module
3. Cash Advance Administrator, signs and approves cash advance requests up to allowable limits,
and reconciles monthly to general ledger
4. Administrator for electronic travel and billing modules to ensure accurate processing and data
integrity is maintained, monitors employee data feeds and file exchange
5. Develops improvements to back-office processes for the travel management system(s)
6. Researches and provides information to travelers on the most expeditious way to process
travel plans and reimbursement requests
7. Provides training on Travel Policy and procedures to campus community
8. Acts as back up to the Accounts Payable Accounting Manager
DEPARTMENT SPECIFIC KNOWLEDGE, SKILLS, AND ABILITIES*:
Subject matter expert on Kennesaw State University, Board of Regents and State of Georgia
Travel Policy
Able to assist Audit staff with routine requests
Able to proactively communicate changes in travel policy to the campus
Able to manage escalated travel policy, payment or vendor issues
Able to provide dedicated assistance to the Education Abroad Programs; provides research
assistance to staff and faculty
Job Summary
Performs duties in the administration and maintenance of accounting records. Responsible for reconciling Banner to PeopleSoft and required reporting to the Georgia Department of Audits and State Accounting Office.
Responsibilities
KEY RESPONSIBILITIES:
1. Responsible for accounting and reporting revenues and receivables
2. Maintains registration, fee assessment, and due diligence schedules
3. Monitors and prepares financial reports and analysis
4. Collaborates and coordinates with contractors
5. Responsible for monthly accounting and annual reporting
6. Reviews KSU Foundation or department-related invoicing
7. Assists with month-end and year-end close and internal/year-end audit
8. Review processes to improve business efficiencies and recommend best practices
9. Supervises assigned accounting staff
Required Qualifications
Educational Requirements
Bachelor's degree from an accredited institution of higher education in Accounting, Business or related field
Required Experience
Four (4) years of related work experience in bookkeeping or accounting
Preferred Qualifications
Preferred Educational Qualifications
An advanced degree from an accredited institution of higher education in Accounting, Business, or a related field
Knowledge, Skills, & Abilities
ABILITIES
Able to to direct and supervise a staff
Able to handle multiple tasks or projects at one time meeting assigned deadlines
KNOWLEDGE
Knowledge of accounting processes and principles (general ledger, accounts payable, accounts receivable, etc.)
SKILLS
Excellent interpersonal, initiative, teamwork, problem-solving, analytical, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
Advanced data entry and 10 key skills
Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, Banner, and People Soft)
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
