Job Summary:
The Assistant Director of Enrollment Data Systems (AD) serves as a subject matter expert in Strategic Enrollment Management (SEM) data systems, with a focus on quality assurance, system integrations, data integrity, and Slate administration. The AD supports the Undergraduate (UG), Graduate (GRAD), and Certificate (CERT) Slate environments and works collaboratively with the Enrollment Data Systems team and University stakeholders to monitor and maintain the systems and data processes supporting enrollment operations.
A primary focus of the position is shared monitoring and quality assurance across USF's enrollment technology ecosystem, including data movement between Slate, Axiom Elite, and Ellucian Banner; established intra- and inter-system validation controls; major third-party and AI-assisted application integrations; and person and application-level fraud and anomaly detection. The AD investigates system and data exceptions/errors, supports established SQL, Tableau, and Slate-based monitoring processes, and recommends enhancements as business requirements, integrations, and emerging risks evolve.
The AD also provides functional and technical support for SEM operations and high-level support for USF's decentralized Graduate Schools and Colleges and professional programs, while supporting SEM's responsibility for shared integrations and enterprise enrollment processes. The position emphasizes collaboration, proactive monitoring, root-cause analysis, continuous improvement, and the development and sharing of innovative enrollment technology practices. The AD reports to the Senior Associate Director of Enrollment Data Systems, CRM.

Job Responsibilities
Slate Administration & Enrollment Systems Support
- Provide functional and technical Slate support for SEM departments, including Undergraduate Enrollment Operations, Undergraduate Admissions, and Undergraduate Enrollment Communications.
- Provide functional and technical Slate support for the decentralized Graduate Schools and Colleges (GRAD), including the Certificate (CERT) Slate instance supporting USF's professional programs, with SEM maintaining responsibility and authority for integration-related enhancements, maintenance, configuration, and modifications affecting enterprise systems, data exchanges, and shared enrollment processes.
Data Quality Assurance - Slate, Axiom Elite, & Ellucian Banner
- Share responsibility for the daily validation and monitoring of Axiom integrations across the Undergraduate (UG), Graduate (GRAD), and Certificate (CERT) Slate instances, working collaboratively with other Enrollment Data Systems team members and appropriate stakeholders to monitor the successful movement of application, test score, school, decision, and other enrollment data between Slate, Axiom, and Ellucian Banner.
- Share responsibility for investigating and resolving Axiom and related integration errors/exceptions across the Undergraduate (UG), Graduate (GRAD), and Certificate (CERT) Slate instances, working collaboratively with other Enrollment Data Systems team members and appropriate stakeholders to trace records across Slate, Axiom, and Banner; identify points of failure; correct source data, mappings, or system logic when appropriate; and validate successful downstream processing.
- Share responsibility for monitoring established cross-system data integrity audits across the Undergraduate (UG), Graduate (GRAD), and Certificate (CERT) Slate instances, comparing live Slate data against live Ellucian Banner data using tools such as Tableau, SQL-based reporting, and other institutional data-validation tools.
- Share responsibility for monitoring and maintaining established Undergraduate (UG) equilibrium-method scholarship quality-assurance queries and controls, including intra-Slate validation of scholarship eligibility, calculations, and assigned awards, as well as inter-system validation between Slate and Banner to ensure scholarship data is accurately reflected across systems.
Person and Application Fraud Quality Assurance
- Co-monitor established system controls, metrics, and automated detection processes across the Undergraduate and Graduate Slate instances, in collaboration with the Enrollment Data Systems team, SEM stakeholders, and the decentralized Graduate Schools and Colleges. Monitoring includes person-level spam and anomalous activity, including SMS/text messaging patterns and usage, as well as application-level fraudulent, anomalous, and Ghost application activity.
- Monitor evolving spam and application fraud trends, patterns, and attack methods, and proactively recommend new or enhanced detection and prevention methodologies as behaviors change.
- Evaluate and recommend enhancements to queries, rules, scoring methodologies, reports, integrations, and automated controls to address emerging risks and strengthen data quality and system protections.
Integration Quality Assurance - Third-Party Systems
- Co-monitor established application-level auditing and reconciliation processes for major bilateral application integrations within the Undergraduate Slate instance, including AI-assisted application review integrations and other systems that transmit application information externally and return structured information to Slate.
Data Analysis, Continuous Improvement & Compliance
- Maintain and advance professional knowledge through active participation in Slate Summit and other relevant conferences, training opportunities, documentation, and professional communities, with an emphasis on contributing to USF's strong tradition of presenting at Summit and sharing innovative practices with the broader Slate community.
- Use data and systems analysis to identify opportunities to improve, automate, and strengthen enrollment business processes, collaborating with appropriate stakeholders to develop and implement recommendations.
- Ensure the integrity and confidentiality of student academic and applicant records by complying with FERPA, University policies, and applicable data-governance requirements.
- Perform other related duties as assigned.
Minimum Requirements
- Bachelor's degree required.
- Understanding of and commitment to the University of San Francisco's Vision, Mission, and Values.

- 1-3 years of experience working in university enrollment management, enrollment technology, CRM administration, student information systems, or a related area.
- At least one year of administrative experience with Technolutions Slate CRM required.
- Demonstrated understanding of Slate Configurable Joins, queries, exports, filters, and data structures.
- Experience working with Slate functionality including queries, reports, application cycle preparation, Deliver, rules and populations, forms, Reader, Inbox, events, portals, and integrations.
- Demonstrated experience using SQL or SQL-based query tools for data validation, reconciliation, troubleshooting, and reporting.
- Working knowledge of Student Information Systems and the movement of data between CRM, middleware, SIS, and third-party platforms.
- Demonstrated ability to investigate complex data or integration issues by tracing records across multiple systems and identifying root causes.
- Experience with data-quality assurance, exception reporting, reconciliation, or other systematic approaches to validating data integrity.
- Data reporting and analysis experience required.
- Demonstrated experience configuring and editing Liquid Markup.
- Strong analytical and problem-solving skills with the ability to translate business requirements into appropriate technical or process solutions.
- Strong interpersonal and communication skills, including the ability to translate complex technical concepts into clear language for functional stakeholders.
- Demonstrated ability to independently manage recurring operational monitoring, investigate exceptions, prioritize issues, and follow problems through resolution.
- Strong desire and aptitude to continue developing technical and professional expertise within SEM.
Preferred Qualifications
- 1-2 years of experience administering Technolutions Slate CRM or serving as a Slate Captain.
- Experience using Axiom Elite or comparable middleware/integration platforms supporting enrollment or student information systems.
- Experience as a functional user of Ellucian Banner, including Banner Student.
- Experience writing SQL for data reconciliation, exception detection, integration monitoring, or quality assurance.
- Experience using Tableau or comparable business intelligence and visualization tools to monitor and reconcile data across enterprise systems.
- Experience supporting or monitoring API, file-based, middleware, or bilateral system integrations.
- Experience developing automated controls or monitoring processes for data quality, system exceptions, anomalous records, fraud/spam detection, or integration health.
- Familiarity with AI-assisted or other emerging enrollment technology integrations and the quality-assurance considerations associated with exchanging application data with third-party systems.
- Familiarity with XML, HTML, CSS, and other technologies commonly used within Slate.
- Understanding of Oracle table structures and Oracle ODS.
- Project management skills and experience.
- Familiarity with University of San Francisco enrollment processes, policies, and culture.
