What We Are Looking For

Baylor University is seeking a Part-Time Administrative Associate. The Part-Time Administrative Associate supports the Office Manager and Department Chair assisting with course scheduling, department functions, and room assignments. This includes communication with faculty and staff and with divisions across campus related to schedules and rooms. Additionally, they provide support for our Graduate Programs, assisting our Graduate Program Directors with communication with students, scheduling prelims and comps, recruitment, and applications.

An Associate's degree and three years of relevant work experience are required. A Bachelor's degree and five years relevant work experience are preferred.

Applicants must be currently authorized to work in the United States on a full-time basis.

What You Will Do
  • Work with Department Chair on all academic class scheduling, this involves;
    • Inputting all course schedule information
    • Meeting with the Department Chair to discuss changes
    • Assigning instructors to rooms
    • Communicating with the Registrar's Office and other divisions on campus
  • Take minutes for all department faculty meetings
  • Schedule meetings for professors as needed
  • Assist Office Manager with tasks as needed
  • Attend weekly Graduate Program Directors meetings
  • Schedule activities on campus for graduate students and faculty
  • Communicate with students, scheduling prelims and comps, recruitment, and applications
  • Order business cards and brass name badges for all 1st year PhD students
  • Schedule all graduate faculty meetings
  • Support Department Chair, Office Manager, and faculty with various tasks as needed
  • Make and print yearly excel spreadsheet for faculty and staff directory, spotlighting new faculty
  • Work with business office to handle ordering for Curriculum and Instruction summer camps, Math Teacher's Academy, MELA, and iEngage
  • Work with events management in preparation for MTA and iEngage
  • Perform all other duties as assigned to support Baylor's mission
  • Ability to comply with university policies
  • Maintain regular and punctual attendance
