Job Summary
The University of Colorado Boulder encourages applications for a Finance and Scholarship Specialist! This position contributes to the financial health and strategic growth of the Education Abroad (EA) office by working closely with the International Education Associate Director of Finance and the broader EA team. The Finance and Scholarship Specialist collaborates with the Assistant Director, Director of Scholarships to ensure effective operation and compliant scholarship operations and serves as a member of EA's finance team. The Finance and Scholarship Specialist reviews scholarship applications, coordinates with the Office of Financial Aid as needed, processes scholarship awards, and monitors scholarship budgets. The position is also responsible for managing student insurance enrollment rosters and updates, reconciles invoices, and responds to coverage questions. In addition, the position supports EA program budgeting and financial operations by publishing program budgets, assisting with provider contracts, processing expense reports, and supporting fiscal year-end activities.

Who We Are
Education Abroad is a unit within International Education in the Office of Undergraduate Education within the Division of Academic Affairs, at the University of Colorado Boulder. The mission of this unit is to develop, operate, and maintain a comprehensive portfolio of global education abroad programs for CU Boulder students and academic units, including studying abroad, domestic programs, international student exchanges, faculty-led Global Seminars and Global Intensives, and international research and service learning. The unit is responsible for health and safety and risk mitigation for students going abroad on CU Boulder sponsored programs, and oversees campus support for International Travel Registration.
What Your Key Responsibilities Will Be
Scholarship Administration and Analysis
- Assist Scholarship Director in administering scholarships, ensuring alignment with institutional policies and funding guidelines while adhering to budget allocations.
- Actively participate in the Scholarship team, including regular meetings and collaborative planning.
- Review scholarship applications with a focus on financial need and eligibility to support award decisions.
- Collaborate with staff in Financial Aid, as needed, to obtain financial aid information.
- Assist with awarding scholarships in TDS, ensuring accuracy of data entry and clear, timely communication to students about their award(s).
- Prepare and distribute scholarship rosters to the Office of Financial Aid in accordance with established timelines and procedures.
- Carefully track status changes in TDS to ensure appropriate adjustments; consult with the Scholarship Director and update the Office of Financial Aid as needed.
- With the Scholarship Director, monitor scholarship budgets and spending initiatives to support responsible stewardship of funds.
- Ensure scholarship information is accurate and up to date in TDS and on the Education Abroad website.
- Develop, document, and continuously improve scholarship administration processes.
- Serve as the first-line communicator for student and parent inquiries related to study abroad program costs and scholarship funding, including management of the ed abroad scholarships email account.
- Serve on donor scholarship and GO Scholars selection committees.
- Present in-person or online sessions about scholarships and financial aid to students and CU Boulder employees.
- Train new EA employees and student workers on scholarships and finances.
- Compile insurance enrollment rosters with required student and program information each term, or as needed, for all programs except International Travel Registrations.
- Upload enrollment rosters to the online insurance portal and track student enrollment status changes to ensure accurate final totals.
- Complete early insurance registration for students in select programs who require early confirmation of coverage for visa purposes.
- Communicate with the insurance provider regarding coverage questions, special cases, and unique enrollment scenarios.
- Reconcile insurance invoices and submit them to Accounts Payable through the University Procurement system.
- Update internal billing rosters to reflect paid insurance fees and maintain accurate financial records.
- Respond to staff and student inquiries related to insurance coverage.
- Serve as an active member of the finance team, to help improve financial systems, workflows, and internal controls through proactive problem-solving and continuous improvement efforts.
- Gather and review program fees from Education Abroad providers and partners.
- Create program budgets, including estimated out of pocket expenses, for cost of attendance and student planning purposes.
- Publish student budgets with payment and withdrawal schedules on the Education Abroad website and maintain updates as programs are added, removed, or renamed.
- Share program budgets with the Office of Financial Aid on an ongoing basis to support the calculation of financial aid eligibility and award packages for Education Abroad students.
- Assist the finance team with provider contract updates, collection of tax forms (e.g., W-8BEN-E) from foreign providers, and coordinating agreements as needed.
- Review and process expense reimbursement requests and procurement card reports, ensuring documentation is complete and aligned with policies.
- Support fiscal year-end financial processes.
- Provide general administrative support to the office as needed.
- Purchase office and operating supplies; monitor inventory levels, place orders through CU Marketplace, and distribute supplies.
- Support special projects, including initiatives related to Education Abroad's strategic goals, and serve on internal working groups.
- Perform other duties as assigned.

What We Can Offer
The salary range for this position is $58,200-$63,000 annually. Relocation may be offered based on departmental guidelines.

What We Require
- Bachelor's degree from an accredited institution of higher education or equivalent combination of education and experience may substitute on a year-for-year basis.
- One plus years of professional experience in a finance field.
- Experience using Microsoft Excel.
