Job Summary

Oversees the university's enterprise scheduling system to ensure efficient use of academic and event spaces. They manage classroom and event scheduling, resolve conflicts, and provide expert guidance to coordinators, faculty, and leadership. The role includes maintaining Scheduling Software operations, training users, and collaborating with IT on system updates and integrations. In addition, the administrator serves as the primary scheduler for high-level leadership events, maintains relationships with academic units and support services, and develops policies and procedures to align scheduling with institutional goals. They design and deliver data reports, dashboards, and visualizations to support decision-making, space utilization, and strategic planning. The position also contributes to process improvement, supports faculty in instructional technology and classroom needs, and participates in institutional committees focused on academic operations and space planning.

Responsibilities



EXPERT SENIOR ADMINISTRATOR OF SCHEDULING SOFTWARE: Works with Classroom Scheduling coordinators to ensure the efficient use of all spaces across campus is utilized to capacity. This includes all academic courses and events. Expertly administering the enterprise scheduling and event management software system, Scheduling Software, to identify scheduling errors and conflicts by creating searches in Scheduling Software and resolving course placement requests, disputes, and conflicts among academic needs. Works with Instructional SystScheduling Software and Database IT teams to coordinate, schedule, and apply patches for system requirements. Serve as the institution's Scheduling Software expert for academic scheduling, including data extraction, reporting, and schedule visualization. Creates new Scheduling Software Client user accounts and trains users on the application. Leads efforts on planning and development, and implementation of Scheduling Software training with Scheduling Software Webapp users. Provides training and support to departmental schedulers and other stakeholders on Scheduling Software usage and scheduling best practices. Provides guidance when applicable to Classroom & Event Scheduling Coordinators.

SENIOR LEADERSHIP COORDINATION: Senior scheduler as primary coordinator on high-level VIP (Presidents Office, Provosts Office, Special Events, Communications, External Affairs, Alumni Affairs, and related units), highly complex meetings, and conferences- providing expert knowledge in handling multifaceted scheduling procedures.

COMMUNICATION AND COLLABORATION: Maintaining communication and relationships with appropriate event support organizations, including instructional support, audiovisual support, facilities, and related units to coordinate changes to scheduled rooms by re-assigning rooms in the event of an emergency or classroom equipment failure. Assists law enforcement authorities in locating classrooms or events. Coordinates with AU Police and Facilities for maintenance issues. Coordinates building opening and closing, reassignment of department courses, and provides alternative schedule options for classes and events.

DATA: Data Design, develop, maintain, and deliver reports for data in the available system, Scheduling Software (e.g., CRM, SIS, LMS, Scheduling Software) to departments. Partner with ITS and IE in creating support specifications that are best developed within their expertise. Build dashboards to provide insights into trends and improve operational planning and decision-making. Collect, clean, and analyze historical academic scheduling and space utilization data from Scheduling Software and related system Scheduling Software. Develop dashboards and visualizations to identify trends, inefficiencies, and opportunities in course scheduling and space usage. Perform scenario modeling and forecasting to support data-driven scheduling decisions. Evaluate classroom and academic space utilization metrics to identify underused spaces and peak usage times. Provide recommendations to improve utilization, reduce bottlenecks, and enhance the student learning environment. Facilitate data-informed discussions to support equitable and efficient classroom assignments.

DATA REPORTING & COMMUNICATION: Prepare and present reports, summaries, and presentations for senior leadership, deans, and department chairs. Develop and maintain standard reports and dashboards to track space utilization, identify scheduling trends, and support strategic planning efforts. Translate complex data into actionable insights for non-technical stakeholders. Provides information to high-level decision makers by running queries, room matrix, time conflict reports, confirmation reports, inventory reports, room utilization reports, and building utilization reports, and developing comparative data modules, graphs, and spreadsheets.

PROVIDE BUSINESS ANALYSIS: Provide business analysis (e.g., cost-benefit analysis, documentation, technological capabilities), workflow design, and functional support of the system Scheduling Software that enhances access to student information, streamlines processes, and improves delivery of services to all stakeholders from enrollment and student success-focused departments. Define and document business requirements and perform workflow design and training that maximizes the investment in the SystScheduling Software, as well as the integration with other students supporting the student life cycle.

PROCESS IMPROVEMENTS AND BEST PRACTICES: Process Improvement & Best Practices: Recommend and help implement process improvements based on data findings, national best practices, and academic partner feedback. Stay informed about trends in academic scheduling, classroom design, and instructional technology that may impact space needs.

COLLABORATE: Works with Faculty Instructional Developers and Learning Innovation Specialists to coordinate Faculty professional development and consultation (both pedagogical and technical). Provides leadership in developing, implementing, and assessing professional development and other support aimed at assisting faculty members as they develop and deliver engaging and interactive online and hybrid courses in the LMS.

Required Qualifications

Bachelor's degree from an accredited college or university in a related Education, Instructional/Educational Technology, or related field of study, and three years of experience in a relevant field of work.

Shift/Salary/Benefits

Shift: Days; M-F (Work outside of the standard business hours may be required)

Pay Band: B10

Salary: $52,500/annually-$65,316/annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
