Job Summary


Reporting to the Senior Director of Human Resources (HR) and Faculty Support Services (FSS), this role functions as the Faculty Personnel Specialist in the Leeds School of Business (Leeds). This position leads Faculty personnel actions and provides quality services to develop, and retain a highly effective workforce capable of advancing the academic mission. The Faculty Personnel Specialist partners closely with the HR administrator and the Senior Associate Dean for Faculty and Research. The Faculty Personnel Specialist is responsible for the administrative processes related to faculty career achievements including reappointment, promotion and tenure, evaluation, leaves and sabbaticals, and post-tenure review.

Additionally, this position is responsible for coordinating the notice requirements related to our faculty administrative appointments. This position is confident with the policies, bylaws and procedures connected to faculty, and is focused on providing superb support to all faculty, contributing to a positive employee experience. This position involves a significant administrative workload, requiring excellent attention to detail, time management, organization and multi-tasking skills.

What Your Key Responsibilities Will Be


Faculty Personnel
  • Liaison for Leeds faculty Reappointment, Promotion and Tenure/Post Tenure Review, and Sabbaticals.
  • Identify faculty candidates for promotion, reappointment or post-tenure review and make appropriate notification.
  • Prepare Annual Personnel Actions and PUEC Members documents.
  • Ensure continuous communication to faculty regarding upcoming due dates and next process steps.
  • Fulfill the administrative tasks associated with the reappointment process for Leeds instructors in coordination with division chairs regarding instructor reappointments.
  • Prepare documentation for any needed material related to faculty personnel actions, and ensure the relevant partners have the appropriate access to the material.
  • Interpret and communicate policies, regulations, and procedures associated with promotion and post-tenure review to faculty, staff, and other program participants.
  • Be responsible for the preparation of faculty e-dossiers for college review and submission to the campus Office of Faculty Affairs. Coordinate faculty sabbatical process.
  • Main liaison to campus Office of Faculty Affairs for any faculty personnel action matters.
  • Be responsible for voting process for all Leeds faculty personnel actions.
  • In coordination with Faculty Affairs prepare, maintain and publish the Leeds School timelines calendar including comprehensive review, reappointment, promotion and tenure and other college timelines affecting Leeds faculty.
  • Support the Senior Associate Dean with ad hoc needs related to faculty personnel actions.
  • Maintain the faculty personnel action tracker to ensure alignment of when faculty are eligible/required to complete each career action.
  • Ensure all digital files related to faculty personnel achievements remain updated.

Annual Faculty Merit Evaluations
  • Manage the administrative aspects of the annual merit process for Leeds annual faculty merit evaluations.
  • Partner with the Division chairs to provide guidance on requirements and needs relating to faculty evaluations.
  • Prepare documentation for the division and Dean reviews including FCQ and publication data.
  • Assist the Senior Associate Dean with post-evaluation faculty score analysis.
  • Support the Senior Associate Dean with ad hoc needs and analysis related to annual faculty merit evaluations.
  • Submit faculty merit ratings to the Provost's Office.

Faculty Administrative Appointments - Informational Posting
  • Responsible for confirming the faculty administrative appointments available in the upcoming year.
  • Responsible for working with faculty partners, campus recruitment to ensure the posting of the annual notice requirements (informational postings) for the faculty administrative appointments.
  • Where applicable, complete ad hoc informational postings if new administrative appointments are created or become available midyear.

Partner with the HR Administrator
  • Partner with the Sr. Director of HR and FSS to determine responsibilities that the HR Administrator can support with on a monthly basis.
  • Provide mentorship to the HR Administrator regarding faculty personnel matters and the annual merit process.
  • Follow-up with the HR Administrator to ensure delegated tasks are achieved.

Ad hoc HR Support
  • This position coordinates two new faculty orientations per year and will also be required to perform with ad hoc duties as requested to support the HR unit.
  • Perform any additional responsibilities required and needed to support the wider HR team.


What You Should Know


This position offers a hybrid work modality with 3 days on campus and 2 days of remote work per week. The work schedule is Monday-Friday, 8:00 am - 5:00 pm.


What We Can Offer


The hiring range for this position is $58,200-$64,000. Relocation is available for eligible candidates.

What We Require

  • Bachelor's degree from an accredited university or a combination of education and experience.
