Job Summary
The Associate Director of Campus Visits and the Welcome Center plays a pivotal role in shaping the first impressions and experiences of prospective students and their families. This position oversees the planning, execution, and assessment of all on-campus, off-campus, and virtual recruitment events and manages the daily operations of the Gretchen B. Caughman Student Welcome Center. The Associate Director ensures that every visitor's interaction reflects the institution's mission, brand, and commitment to student success.
Responsibilities
STRATEGIC RECRUITMENT SUPPORT: Develop events and programs that effectively support both recruitment (encouraging applications) and yield (converting admitted students to enrolled students) as part of the overall undergraduate admissions strategy, drawing upon trends and real-time data. Design all event programming so that it contributes to meaningful connections between prospective students, families, and the AU campus community. Serve as a key member of the Office of Undergraduate Admissions leadership team, contributing to departmental decisions that support meeting the enrollment goals of Augusta University. Utilize CRM and event management platforms to manage registrations, communications, and post-visit follow-up. Analyze visitor and event data to inform strategic decision-making and enhance conversion metrics to meet application and enrollment goals. Ensure event and visit programs are accessible to all participants.
WELCOME CENTER LEADERSHIP: Oversee the daily operations of the Gretchen B. Caughman Student Welcome Center, ensuring a welcoming, informative, service-oriented environment for all visitors. Hire, train, lead, and mentor full-time staff to successfully execute campus visit programs (Coordinator, Office Specialist). Develop and maintain visit program operating procedures, campus tour routes, and information sessions that align with recruitment goals and brand messaging. Oversee the Coordinator of Campus Visit Experiences in hiring, training, and supervision of 1828 Ambassadors (student tour guides) and student support staff, fostering a culture of excellence and hospitality. Collaborate with campus partners (Facilities, Public Safety, Parking, Transportation, Housing, Dining, etc.) to ensure seamless visit experiences. Manage all aspects of the Student Welcome Center used by other AU partners and external agencies.
EVENT PLANNING AND MANAGEMENT: Provide leadership for the design, coordination, and execution of major admissions events, including preview days, admitted student programs, and school counselor events. Partner with campus constituents in Enrollment & Student Affairs, the Academic Colleges, and others to deliver engaging, high-quality experiences that highlight the university's academic programs and campus life. Provide oversight on event logistics, including space reservations, catering, AV, registration systems, and event communication. Manage all assigned financial resources for visit programming and the Welcome Center, leading with fiscal responsibility and oversight. Lead post-event assessments, data tracking, and continuous improvement efforts to measure event impact on applications, visits, and yield.
COLLABORATION AND COMMUNICATION: Serve as a member of the Office of Undergraduate Admissions leadership team. Serve as a key liaison between Undergraduate Admissions and campus stakeholders involved in event programming and visitor engagement. Represent the Office of Admissions on university committees related to campus events and visitor experiences. Provide guidance and support to campus colleagues hosting recruitment-related events.
Required Qualifications
Bachelor's degree from an accredited college or university and a minimum of four years of experience in event management or planning, college admissions, or higher education programming or administration.
Preferred Qualifications
Master's degree from an accredited college or university in Higher Education, Marketing, Communications, or a related field. Experience with campus visit programs or admissions recruitment events. Experience in Technolutions Slate CRM. Experience advising student ambassadors or student employees. Experience supervising full-time staff.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
Proficiency with CRM or event management software (e.g., Slate, Salesforce, Cvent).

Shift/Salary/Benefits
Shift: Days; M-F (Work outside of the standard business hours may be required)
Pay Band: B11
Salary: $56,600/annually-$69,200/annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
