This position requires focused attention to detail, complex evaluation analysis, and verification of coursework that meets a variety of local, state, and federal guidelines regarding transfer equivalencies, graduation requirements, and transcript evaluations under strict deadlines. General Description:
Under the direction of the Director of Admissions, Records and Follow-Up Services, performs specialized technical duties related to the evaluation and processing of student transcripts, determining if program graduation requirements have been met; carries out mandated and/or desirable research in support of evaluation of student records, certifies equivalent course credit; monitors, evaluates and certifies ADT transfer completion: maintains and improves transfer data; investigates and resolves complex technical problems and issues; ensures all evaluations deadlines are met; and serves on committees directly relating to the assignment.

Examples of Duties


Essential Functions:
  • Researches, verifies, analyzes and assesses student transcripts and academic histories, accurately translating grading systems and course credit awarded from other institutions; award equivalent credit based on educational, military and other backgrounds through analysis and comparison of Merced Community College courses
  • Serves as researcher of catalogs and course information to/from other colleges and universities using on-line and other data sources; evaluates catalog information to establish whether course-to course equivalencies and competencies have been met
  • Evaluates international transcripts received per articulation agreements and from approved transcript translation services
  • Researches, articulates and builds other schools and corresponding coursework in various evaluation data base systems to aid evaluators and counselors in student transcript evaluation
  • Develops, monitors, improves, and oversees data file systems and supplementary databases and datasets: provide oversight to these databases
  • Provides training to incoming evaluations staff
  • Serves on technical implementation team for development of new/changing processes and platforms related to Admissions and Records
  • Provides information, assistance, interpretation, and clarification to graduation applicants and counselors in analyzing student records for placement decision making, course substitution and course petition policies
  • Interpret, verify, and apply AP, IB and Credit by Exam units based on established District Policy; posts grades earned through CBE and 2+2
  • Processes CSU GE, IGETC and Reciprocity certifications as required
  • Receives and processes relevant certification documentation and properly executed subpoenas of student records; both state and federal
  • Performs technical review and processing of graduation application information verifying through set audit processes the proper completion of program and other graduation requirements, communicates application outcomes to student applicants, enters awards in established data platforms, and assists in the preparation of related reports for the District graduation ceremony
  • Serve on Graduation committee, prepare and mail graduation information packets to graduates, assist as needed in the planning of the graduation ceremony
  • Develops and maintains graduation statistics and prepares related reports for the District graduation ceremony and other department needs
  • Collaborates with department faculty, staff and students to obtain information for research, development and evaluative purposes
  • Serves on Degree Audit team to ensure accuracy and integrity of the database
  • Serves as Admissions representative to the Curriculum committee
  • Reviews and ensures timely reporting of AAT/AST information to e-Verify system data base by evaluations team
  • Prepares, scans, and coordinates imaging of student incoming transcript and graduation application records; maintains integrity of imaged transcript file data
  • Interprets Admissions and Records and District policies and applies them in a variety of procedural situations
  • Assists with the application/registration process as needed
  • Other related duties as assigned

Typical Qualifications

MINIMUM QUALIFICATIONS

  • Bachelor's degree AND one (1) year of applicable experience OR applicable certifications
OR
  • Associate's degree AND four (4) years of applicable experience AND applicable certifications
OR
  • The equivalent education and experience
  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students
