College/Department Information

The Medical College of Georgia (MCG) is one of the nation's largest medical schools by class size, with 304 students per class. The MCG educational experience is anchored by the main campus in Augusta, with regional clinical campuses for third- and fourth-year students across the state, and two four-year campuses located in Athens (in partnership with the University of Georgia) and in Savannah (in partnership with Georgia Southern University). MCG's expanding partnerships with physicians and hospitals across Georgia currently provide more than 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to approximately 575 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

Responsible for managing day to day administration and planning of the standard administrative support activities, such as the budget administration to include the procurement/financial components requiring the ability to maintain complex financial systems and cost accounting reports. Responsible for assisting with the management of personnel, the facilities management, and the office management under the direction of a department administrator or division head.

Responsibilities

The responsibilities include, but are not limited to:

Personnel Management

Ensure recruitment and training of Family and Community Medicine staff.

Ensure staff levels are appropriate to support the departmental needs by projecting expected growth and planning staff and resources accordingly by submitting to the Administrator for approval.

When Section Supervisors select candidates for new hire, review candidates and confirm educational/experience are relevant. Review all interview paperwork for appropriateness and ensure that references are obtained. Work with the HR Business Partner in Talent Acquisition to determine salary for new hires.

Ensure staff evaluations are completed by all sections and are accurate according to AU guidelines. Complete staff evaluations for all employees that have a direct reporting line to the Business Office and ensure completion of performance evaluations for indirect reports. Work with Administrator to ensure review of all departmental evaluations before submission to Human Resources by deadlines.

Organize day-to-day office workflow for Business Office and Administration Office; manage workflow and meet deadlines. Review and approve leave requests for all affiliated staff. Review and approve leave in OneUSG for Business Office staff, and others if needed, by deadlines set by Payroll Department.

Financial Management

Generate routine and special financial reports regarding departmental operations. Review reports, analyze trends and create comparative analyses. Advise Administrator of issues requiring attention.

Work with the Administrator, as needed, to maintain detailed accounting system.

When original budget opens for the upcoming fiscal year, attend training and follow budget instructions from MCG Operations to set up paperwork for submission. This includes assigning new fiscal year funds to faculty and staff, balancing accounts, and meeting original budget deadlines.

Validate original budget at the beginning of the fiscal year and monitor personnel expenses and projections monthly. Prepare various budget scenarios regarding fund allocation and assignment to ensure a balanced year-end budget.

Submit budget amendments during the fiscal year for budget management. Prepare personnel transfers, if needed, to correct errors.

Submit ePARs for faculty and staff as the distribution of effort changes or to ensure budget alignment.

Maintain complex accounting system for state, sponsored, departmental Wellstar accounts, and Foundation accounts for Family and Community Medicine. Supervise reconciliation by the Business Operations Specialist position for supply, travel, and CME accounts and prepare financial reports. Formulate plans and implement controls to ensure fiscal compliance with policies and procedures. Forecast funds availability and make recommendations to department leadership regarding funds administration.

Review sponsored accounts in department. Prepare cost transfers to correct errors. Work closely with Sponsored Accounting to ensure accounts are in compliance with policies and procedures. Prepare effort reports to ensure proper reporting.

Serve as P-card approver for the department. Review requests for p-card usage and approve or deny. Print report of monthly expenses for reviewer and approver to review and ensure accuracy of charges and CFC's. Ensure department is in compliance with P-card guidelines.

Primary approval signature for travel and check requests. Ensure CFC is correct and funding is available prior to signing. Also, one of the primary approval signatures for MCG and AU Foundation accounts. Ensure funds are utilized appropriately and within guidelines.

Work with Administrator to facilitate paperwork for faculty increases.

Ensure appropriate approvals are obtained and submitted into OneUSG for HR Performance and Comp review.

Initiate Family and Community Medicine faculty/staff extra duty paperwork and submit to MCG Operations for approval and subsequent submission into OneUSG for HR Performance and Comp review. Once approved, ensure extra duty is entered into OneUSG monthly or as needed

Other

Generate contracts for the department yearly and as needed. Work with vendors and initiate routing. Ensure that contracts are appropriately entered into InfoEd (eSprout).

Oversight of key control and OneUSG access for department.

Other duties assigned.

Required Qualifications

Bachelor's degree from an accredited college or university in Business or related discipline and two years of administrative and management experience.

Preferred Qualifications

Master's degree from an accredited college or university.

Supervisory experience.

Previous experience using OneUSG Connect and PeopleSoft Financial.

Previous experience working in higher education.

Knowledge of BOR and AU business operations policies and procedures.

Shift/Salary/Benefits

Shift: Days/M-F (work outside of the normal business hours will likely be required of an employee in an exempt level position)

Pay Band: 12

Salary: Minimum $62,300.00/Annually - $77,000/Annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
