Primary Duties and Responsibilities:
The Executive Assistant provides high-level administrative and project support to the Vice President of Organizational Development. This role works independently under moderate supervision and demonstrates exceptional skills in synthesizing information, producing professional presentations and reports, coordinating strategic projects, and managing sensitive and confidential materials. The Executive Assistant is adept with tools such as PowerPoint, Canva, Excel, and content management systems and demonstrates initiative, discretion, and a clear understanding of institutional culture and governance in a fast-paced dynamic environment.

  • Strategic Support and Communication
  • Serve as the primary administrative support for the Vice President, coordinating cross-departmental meetings and managing executive-level communications.
  • Draft, edit, and refine reports, presentations, letters, memos, and other high-visibility documents.
  • Synthesize research, data, and meeting notes into clear summaries, infographics, or presentations.
  • Prepare Board presentations, Cabinet reports, and special project updates on behalf of the Office.
  • Ensure timely follow-up and tracking of action items, deadlines, and deliverables.
  • Stays informed of relevant legal and policy developments.
  • Project and Content Development
  • Develop visually compelling reports and presentations using PowerPoint, Canva, and other platforms.
  • Support the coordination of department-led initiatives by managing timelines, tracking deliverables, and facilitating cross-functional communication.
  • Conduct research and synthesize findings to inform organizational strategy, planning, and continuous improvement efforts.
  • Maintain project documentation and assist with reporting, scheduling, and follow-up tasks to ensure strategic priorities advance on schedule.
  • Serve as a liaison between the Vice President and stakeholders to support effective execution and alignment.
  • Administrative Operations and Coordination
  • Demonstrate strategic foresight by anticipating needs, preparing materials proactively, and managing operational details to support focus on high-impact priorities.
  • Manage the department calendar, including scheduling, logistics, catering, and technology setup for meetings and events.
  • Manage workflows and systems that support strategic priorities, including project tracking, document management, and coordination across departments.
  • Assist with budget tracking, purchasing, and processing contracts and invoices as directed.
  • Maintain records of contracts, project plans, vendor agreements, and department files.
  • Serve as a key point of contact for inquiries to the Office, responding with professionalism and cultural awareness.
  • Confidentiality and Compliance
  • Handle sensitive and confidential information with the highest degree of integrity and confidentiality.
  • Support the cultivation of a respectful, collaborative institutional culture, modeling inclusion, adaptability, and emotional intelligence in all interactions


  • Qualifications:

    • Education
      • Associate's degree or equivalent related experience required.
      • Bachelor's degree in Communications, Business Administration, or a related field.
    • Experience
      • 4-5 years of executive administrative or project support experience, preferably in higher education or a similar professional setting required.
      • Proficiency in Microsoft Office Suite (especially PowerPoint and Excel), Canva, and web content management systems required.
      • Exceptional written and verbal communication skills.
      • Proven ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.
      • High level of discretion, professionalism, and interpersonal sensitivity.
      • Experience with higher education governance, board preparation, or strategic planning processes.
      • Experience with institutional reporting, strategic planning processes, or organizational development projects.
      • Demonstrated ability to work effectively with individuals from a wide range of backgrounds, experiences, and perspectives.
      • A commitment to fostering an environment where collaboration, mutual respect, and inclusive practices are integral to daily work.
      • Strong interpersonal skills and sensitivity to the needs of diverse constituencies across a complex institution.


    Working Conditions:

  • This position is subject to a background check and drug screen at the expense of the College.


  • Hiring Range:
    10 Hourly/Starting salary beginning at $28.88/hourly, based on experience.

    Competitive starting pay is dependent on education and experience.
