Position Announcement
As part of the Institutional Advancement Team, the Assistant Director of Institutional Advancement Events will manage and produce events held on behalf of the University's fundraising efforts. This position is responsible for working cross-functionally with other departments on the UVU campus and will take on responsibilities that include budgeting, communications with vendors, attendee management, and overall event experience.
Summary of Responsibilities
- Assist the Director - Institutional Advancement Events in key signature events. Responsibilities include production/programming, look and feel/event design, budgeting, volunteers, guest management, logistics, and coordinating with outside vendors and campus partners, including caterers, marketing and communications teams, both Central/University and Institutional Advancement, Studios and Photography, and event production companies. Key signature events include, but are not limited to, the President's Scholarship Ball, Alumni Awards, Commencement Awards Dinner, President's EverGREEN Society, Awards of Excellence, athletic donor events, as well as groundbreaking and ribbon-cutting ceremonies for major donor-funded initiatives.
- Co-manages the Executive Event Ambassador Program, approximately. students with the Assistant Director of Presidential and Campus Events, providing rewarding and career-building opportunities to students. Responsibilities include reviewing applications and selecting ambassadors, leading annual retreats and monthly training meetings, and supervising ambassadors during office hours and at events.
- Administers, develops, implements, and reconciles individual event budgets, manages the KPI dashboard, and completes major purchases and contracts for events. Manages event reports and materials in support of fundraising campaigns.
- As assigned by the Senior Director of Events & Experiences, this position will aid in the execution of university trips or experiences that strategize donor stewardship and cultivation.
- Performs other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's degree in a related discipline, plus one year of staff-level experience or an equivalent combination of education and/or experience related to the Summary of Duties, totaling five years.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of event features, including planning, marketing, and production from inception to post-event assessment
- Knowledge of event physical layout, invitation list development, RSVP tracking, guest management, program development and scheduling, ticketing, catering, audiovisual services, special needs, event or speaker security
- Knowledge of fundraising and donor stewardship procedures, techniques, and best practices
- Knowledge of marketing, graphic design, and public relations best practices
- Knowledge and experience in volunteer management
- Knowledge and experience managing budgets and vendor contracts
- Knowledge of office productivity software, including Microsoft Office
- Knowledge and experience in event software such as Social Tables, MailerLite, and Blackbaud
- Exceptional verbal and interpersonal communication skills
- Strong writing and editorial skills
- Excellent organizational skills and the ability to pay attention to details
- Experience managing budgets and vendor contracts
- Experience working with high-level donors, key stakeholders, and institutional leadership
- Basic skills in graphic design software, including Adobe Photoshop, Illustrator, and InDesign
- Ability to be self-directed and proactive when accomplishing assignments with minimal supervision
- Ability to manage sensitive information in a discreet and confidential manner
- Ability with project management, budgeting, and program evaluation
- Ability to excel in a fast-paced and diverse workplace environment with rapidly shifting priorities and deadlines
- Ability to lift and carry event materials to and from event sites (min. of 25 lbs.)
- Ability to drive (with a valid driver's license)
- Ability to travel out of state occasionally when required
- Strong ability to multitask despite multiple overlapping projects and deadlines
- Ability to converse with high-profile donors and VIPs
- Ability to meet and work with people of diverse backgrounds and personalities
