Job Summary:
Eastern Washington University is seeking a highly skilled and team-oriented Executive Assistant to work in our Presidents Office. This pivotal role serves as the primary administrative support to the Chief of Staff and the Presidents Executive Assistant and provides assistance to several senior administrators in the Presidents Office.
  • As the initial contact for the Presidents Office, the Executive Assistant independently plans, organizes, and prioritizes work, leading various complex projects.

  • The salary for this position is $69,150 (minimum) up to $96,968. Where the hired candidate will begin within this range is dependent on education, experience, and skills. Required Qualifications:
  • Bachelors degree
  • At least three years of progressively responsible experience in office/clerical, secretarial, or general administrative work, demonstrating readiness to succeed in an advanced position. To be considered qualifying years of experience must be beyond entry level and/or basic clerical tasks, and must include one or more of the following, which may come from one position or a combination of positions equaling at least three (3) years of administrative experience:
    - Office management experience, including supervising/leading other office workers
- Providing administrative support to an executive, including exercising delegated authority to
manage administrative responsibilities on behalf of an executive
- Directing projects, programs or departments including accountability for achieving objectives
- Performing the key responsibilities defined for this position, including decision making and
use of professional judgement in handling confidential matters
  • Knowledge of administrative procedures and business operations.
  • Work experience demonstrating strong computer skills, including experience with these duties:
    -Using Microsoft Office suite and/or other software for spreadsheets, databases,
    communications
    - Developing and running reports
    - Updating and maintaining websites
    - Using complex relational databases such as Banner
  • Work experience demonstrating success handling a high volume of customer contact and providing customer service. To be considered, qualifying experience must include communications with various customers, such as external organizations and agencies as well as university employees, students, and applicants. Communications must include verbal and written communications at various levels of formality.
  • Work experience demonstrating successfully handling a demanding workload with overlapping deadlines, requiring great attention to detail, strong communication skills, perseverance, initiative and the ability to function well under direction and working independently, all in an environment characterized by interruptions throughout the day.
  • Budget management experience.
  • Candidates must demonstrate interest, ability and/or experience promoting cultural competency, universal accessibility, and diversity.

Preferred Qualifications:
  • Experience working in a state institution of higher learning.
  • Two additional years of relevant office experience, such as working in the office of an executive or chief administrator.
  • Logical reasoning, sound decision-making ability, effective communication (both oral and written), poise under all circumstances, and positive interaction skills.
  • Ability to work effectively in high-stress and conflict situations.
  • Ability to address multiple complex situations simultaneously.
  • Ability to work independently, maintain regular attendance, and confidentiality.
  • Familiarity with Concur Travel management software.

Administrative:
Assist executive administration, and direct or support activities and initiatives related to university goals and objectives. Exercise decision-making authority in designated areas and use judgment in handling confidential matters for executive administration and other administrative staff in the Presidents office.
Maintain documents and materials with effective procedures in place to handle highly confidential matters.
Use delegated authority to make and implement plans, decisions, and commitments in areas related to university administration and operations.
Collect information to support decision-making in the Presidents office. Research, collect and analyze data; review materials submitted; prepare information for discussions and decisions.
Develop, prepare and/or assemble materials for meetings. Provide background materials for meeting and handle meeting notices.
Interpret policies and procedures and serve as a liaison with university partners. Serve as a resource and represent the Presidents office.
Develop, compose, and update reports and other documents as requested. Compose drafts and final responses to inquiries and prepare materials to be reviewed and advanced to executive administration.
Utilize Microsoft Suite for word processing, spreadsheet, PowerPoint, database, and graphic software.
Assist in personnel practices and procedures, maintaining departmental files, leave reports, performance evaluations, and other records.
Participate in short-term and long-term planning, strategic and quality planning processes.
Answer telephone calls, screen, take messages and share information with staff members, and/or refer callers to appropriate contacts.
Receive and refer visitors, resolve problems, and respond to inquiries regarding the Presidents Office.
Collaborate as an integral part of the Presidents team, working towards common goals.
Perform complex word processing tasks and prepare and maintain administrative and business reports and records.
Oversee meeting locations, facilities, catering, and accommodations.
Arrange campus visits, facilitate attendance at university functions, and schedule individual meetings.
Ensure travel arrangements are made for administrators and reconcile travel payments.
May take minutes at meetings, prepare for approval, and distribute accordingly.
Organize office space to achieve efficient and organized use.
Develop and maintain good working relationships with the external and internal constituenciesPercent of Time: 60



Event Management:
Promote Presidents Office events and collaborate with off-campus organizations.
Monitor program activities and special events, tracking expenses on an ongoing basis.
Manage and coordinate event arrangements, including meetings, conferences, and athletic events.
Coordinate events and activities for the Presidents office, including scheduling, communications, and logistics such as space, equipment, IT support and other details.
Prepare presentations and documents needed for events and serve as a resource to participants.Percent of Time: 20



Budget:
Prepare, process, audit, and/or approve expenditures, requisitions, vouchers, and payroll and personnel changes.
Maintain and monitor budget/fiscal records, identifying problems and making recommendations.
Perform Banner reconciliation of expenditures, initiate purchase requisitions, invoices, etc., in support of the Presidents Office.
Conduct Concur reconciliation and tracking of office administrators travel.Percent of Time: 20
Conditions of Employment:
  • This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value, as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.
