Position Information
Hiring Department: Institutional Advancement

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends
FLSA status: Exempt
Earliest Start Date: As soon as possible.

The primary accountabilities are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.
Purpose of Position
The Gift Processing unit plays a crucial role in facilitating the receipt, acknowledgment, and management of philanthropic contributions from donors. It ensures that every donation is accurately recorded and processed in a timely manner. Gift processing includes verifying donor information, correctly categorizing and coding donations, and maintaining comprehensive and accurate records in the donor database. Additionally, it involves generating timely acknowledgments and receipts to donors, which are essential for maintaining donor satisfaction and compliance with legal and regulatory requirements.
Essential Functions
Reporting to the Associate Director of Gift Processing, you will be responsible for providing routine support processing gifts in the University's donor and alumni database system (Raiser's Edge).
In this role, you'll be processing and maintaining records on all gifts, pledges, and membership transactions in a timely and accurate manner, as well as preparing receipts and acknowledgement letters in response to gifts received. You will also be charged with performing detailed assignments in recording, classifying, examining, and verifying records, documents, and reports.
You'll ensure integrity of the data in the Institutional Advancement database, maintaining accuracy of gift and biographical data of alumni and donors. You'll also be reviewing reports, interpreting, and entering gift data, verifying input for accuracy, and retrieving information upon request. You'll be updating and correcting donor records, conducting special projects, and performing clerical functions as needed.
Additionally, you'll be tasked with reading and routing incoming mail, locating, and attaching appropriate files to correspondence to be answered by employer, files correspondence and other records. Answers phone and email inquiries and responds to general questions.
In addition, you will participate in events, projects, various committees, professional trainings, industry conferences, and conventions. In this context, you'll maintain up-to-date knowledge of CASE reporting standards and Blackbaud.
Qualifications

Required Qualifications:
Education: Bachelor's degree
and
Experience: 1 year experience with database management, donation processing, or accounting.
Experience with cash handling
A working understanding of a research university environment
Experience using a fundraising database (we use Raiser's Edge/NXT)
Proficiency in Microsoft Office software and ability to learn and use institutional software systems
