Operations Manager

Job Summary:

Reporting to the Director of the Recreational Sports Department, the Operations Manager oversees all Facility Scheduling, Facility Rentals, Facility Access Personnel for a recreational sports facility serving 550,000 users per year with Front Desk membership sales generating $1.5 million annually. The Operations Manager supervises approximately 50 student and part-time staff including Check-In Desk, Front Desk and Building Supervisors. The Operations Manager also oversees up to three RSD Graduate Assistants and Back Office staff to support operational needs. This position also works collaboratively with the Assistant Director (Information Systems, Membership, Marketing) to create professional development opportunities for RSD staff, identify ways to streamline business practices, and review RSD financial operations to ensure the validity and legality of financial records. This is a highly collaborative position that encompasses interaction with University students, faculty, staff, alumni, as well as a heavy emphasis on building and maintaining relationships with campus partners and neighborhood constituencies.

As a member of the larger staff in Student Life, the Operations Manager collaborates and cooperates to create leadership and intercultural competence opportunities to support student learning and development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.

Job Responsibilities:

Personnel:
- Recruit, hire, supervise, schedule, evaluate and perform payroll for student and non-student positions including check-in desk, front desk, building supervisor and back office positions within the RSD
- Manage front line facility access personnel to support year round operations (seven days per week)
- Develop and conduct in-service and emergency procedures training in conjunction with the Assistant Director (Aquatics & Risk).
- Develop software and customer service training in conjunction with the Assistant Director (Information Systems, Membership and Marketing).
- Supervise the professional development of Graduate Assistants (up to 3) within the RSD.
- Identify and organize staff development opportunities for RSD staff
- Develop and update job descriptions and related policies and procedures for operations staff.

Facility Scheduling and Rentals:
- Manage EMS scheduling software for all events, activities and programs with in the Koret facility
- Manage all agreements, contracts, insurance, and collection of fees for all facility rentals
- Approve the use of Koret facility for any outside tournaments, leagues, and special events.
- Schedule and post all weekly facility schedules and special holiday hours.
- Coordinate with campus partners including Athletics, Kinesiology, other academic programs regarding use of the facility.
- Inspect all areas of operation on a daily basis, especially before and after scheduled events
- Coordinate with Summer Guest Housing regarding facility usage
- Coordinate with the Assistant Director (Information Systems, Membership, Marketing) for all special group access
- Ensure that logistical requirements are met for effective staging of all special events. Coordinate with the Operations & Events Coordinator to provide special event support and staffing.
- Assist Director in developing major and minor capital improvement project proposals
- Record facility usage statistics
- Manage database to track work orders reported to the Facilities Department.

Audit:
- Work with RSD staff to develop and implement policies and procedures necessary for the appropriate safe and orderly operations of the facility
- Develop policies and procedures monitoring revenue collection security for operations staff.
- Perform ongoing audits on waivers and ewaivers
- Prepare and assist with the analysis for price increase throughout the department
- Work with the Assistant Director (Information Systems, Membership, Marketing) to identify ways to streamline business practices and improve efficiencies within RSD operations.
- Work with the Assistant Director (Information Systems, Membership, Marketing) to develop equipment replacement schedules and initiate purchasing procedures for departmental operations equipment.
- Monitor, maintain, and make recommendations for all supplies and technical support equipment including ID cards, ribbon, receipt tape, office supplies, contracts, and forms.
- Audit compliance regarding RSD mandatory in-service training including AED/CPR, Injury Prevention Plan, Title IX, Approved Driver and Working with Minor requirements.

Other Responsibilities:
- Serve on committees as assigned by the Director
- Participate in department/division activities including meetings and staff development.
- Perform other duties as assigned by the Director
- Evening and weekend hours required.
- Maintain ongoing communication with the Director of Recreational Sports regarding program/facility/staff needs, challenges and successes.
- Model behavior based on RSD working principles and customer service standards.
- Complete all RSD paperwork requirements in a timely manner, including room requisitions, payroll materials, departmental goals and work plans, budget preparation, tracking materials, catalog copy, employment paperwork, and others as needed.
- Be committed to the mission and goals of USF. Participate in and promote USF events and programs outside of RSD.

Minimum Requirements:

- Bachelors Degree Required in Physical Education, Recreation Administration, or Sport Management. Masters Degree Preferred.
- Minimum of 3 to 5 years of management experience in recreational sports or related field. Experience working effectively with diverse college student populations in an urban, multicultural environment.
- Minimum of five (5) years experience in the areas of recreation, personnel management, and facility operations.
- Minimum of three (3) years experience overseeing staff in a university and/or fitness facility setting
- Minimum of one (1) year facility booking, scheduling multiple venues to accommodate the needs of various stakeholders.

Additional Knowledge, Skills, and Abilities:

- Understanding of USFs Vision Mission and Values and a commitment to Jesuit Catholic values in creating a learning atmosphere that nurtures among students the faith that does justice.
- Experience working effectively with diverse college student populations in an urban, multicultural environment.
- Solid analytical skills and knowledge of current assessment and evaluation practices.
- Strong interpersonal skills to provide direction in promoting and maintaining collaborative relationships with campus and neighborhood constituencies.
- Working knowledge of health and safety standards as well as legal and risk management procedures.
- Demonstrate proficiency in the use of computers and related programs. Excellent oral and written communication skills. Specific operational knowledge and experience working with various software systems including Customer Relationship Management, Enterprise Resource Planning, Human Capital Management and Web Content Management systems. Working knowledge of Active Net, Time IPS, Concur, Banner, Workday, When to Work, EMS and Drupal are a plus.
