HR Analyst & Assistant to the AVP of HR (Fixed Term)

Position Purpose:
The HR Analyst & Assistant to the AVP of HR reports directly to the Associate Vice President of Human Resources. This position receives general supervision, perform a variety of complex and sensitive HR related data analysis, and is responsible for providing office management and administrative and project support to the office of the AVP and the HR department in general.

This is a highly administrative position that requires the ability to plan and execute various projects and events on behalf of the AVP and the department. This position facilitates communication between all members of the HR team. This position also requires an extremely prudent person who is able to keep information confidential.

Essential Duties and Responsibilities:
1. Provide analytical and administrative support to the AVP of HR and the HR leadership team
a. Prepares tables, charts, reports and presentations as requested.
b. Collects and analyzes and interprets data related to salaries, benefits, budget or other HR metrics. and provides statistical reports to the AVP.
c. Collaborate with the HR management team and other HR team members in coordinating activities depending upon the nature of the project to which assigned.
d. Perform research and analysis for HR initiatives and projects.
e. Provide information and analytical support to the HR leadership team involving HR initiatives and projects
f. Schedules appointments and meetings, coordinates and maintains AVPs calendar, and makes travel and accommodation arrangements for the AVP and other HR leadership members.
g. Performs word processing, photocopying, and related services.
h. Composes correspondence in response to routine inquiries as requested.
i. Maintain general filing and retrieval systems for the office.
j. Undertakes special projects and assignments as requested.
k. Coordinates arrangements for meetings and events sponsored by the office of the AVP of HR.
l. Maintains appropriate University forms, office supplies, equipment, and keys.
m. Maintains University lists, administrative lists, and other mailing or distribution lists.
n. Designs and maintains the AVPs newsletter
o. Submits work requests to facilities and information systems associated with the office. 2. Serves as the facility coordinator office manager for the Department of Human Resources
a. Oversee the management of the conference room and the Manresa Learning Center which includes coordinating the calendars, overseeing repairs, and inspection
b. Manage all aspects of the facilities function for the Department of Human Resources second (2nd) floor, which includes, but is not limited to coordinating general maintenance and equipment repair minor adjustments.
c. Liaison with on campus facilities department, external vendors, contractors
d. Oversee and coordinate work requisitions with facilities department
e. Inventory, order, purchase, organize and maintain office supplies
f. Oversee/maintain resources room and materials.
g. Coordinate equipment maintenance and repair 3. Processes the financial transactions for the AVP of HR, including maintaining appropriate financial records and preparing periodic reports as requested.
a. Review and process in a timely manner expense transfers, payment requests, advances, etc.
b. Process reimbursements
c. Run reports as requested 4. Other duties as assigned.

Provides Work Direction:
1. Supervises, trains and hires students as assigned.

i. Remain calm and professional under pressure.

Education and/or Experience:
a. Bachelors required in business, human resources or related field b. 3-5 years of relevant generalist or specialist experience in human resources and at least 2 years of directly related experience in an administrative support role. Experience in higher education and direct experience using PeopleSoft are preferred.

Salary Information: $27.43 per hour
