Work Schedule:
Monday - Friday, 8:00 AM - 5:00 PM; occasional early morning, evening and weekend hours; this is a temporary position to end on or before June 30, 2019 with the possibility of renewal on an annual basis if program needs exist.

About the Position:

We are seeking an exceptional individual to join our team as the Executive Assistant (Administrative Support Coordinator II). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the supervision of the Chief of Operations for University Advancement and the Operations Specialist, this position is responsible for providing agile, proactive, reflective, and highly skilled executive assistant functions in support of the Vice President. Develop and maintain on-going communication with all levels of university administrators and execute independent decision-making and discretion when working on special projects and day-to-day administrative office procedures. Prepare correspondence drafts for the Vice President while maintaining a high level of confidentiality. The Executive Assistant coordinates projects and events and ensures that each interaction with the Vice President's office enhances the reputation of Cal State Fullerton and expands its base of friends and supporters. Work with the Chief of Operations and Operations Specialist to coordinate plan and execute UA staff meetings, retreats and various VIP level events. Work with the President's Office to schedule a wide variety of Advancement related meetings and events for the President's calendar, managing a wide variety of special projects for the Vice President. Assists the Chief of Operations and the Operations Specialist with the Foundation Board of Governors board relations. Other duties as assigned.



Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
