About the DepartmentThe Office of Development and Alumni Relations drives the fundraising and alumni relations activities of the Ross School of Business.

PurposeThe Development Assistant will provide comprehensive administrative support for Development & Alumni Relations. This position requires a dynamic individual who can work effectively with multiple constituents in a fast-paced, high-stress environment to achieve high-level results. The Development Assistant must think strategically, be proactive to take on additional projects or improve processes, and problem solve.

Responsibilities*

Administrative Support

  • Reconciles alumni club event expenses, transactions, and budget
  • Assists in planning and executing special events, such as donor visits and small events
  • Answers phones, greets and assists visitors, triages and responds to inquiries about Development and Ross programs
  • Schedules appointments with donors, prospects, volunteers, alumni, and staff; prepares meeting materials and reports
  • Creates and maintains organizational systems for information on shared drives and in Google
  • Responsible for data integrity of databases
  • Creates itineraries and donor briefings
  • Works as part of a support staff team to provide excellent customer service to visitors, donors, faculty, and staff
  • Coordinates and balances workload with other team members, provides back-up coverage for other support staff members as needed, and assists in providing appropriate coverage during absences
  • Processes gift checks
  • Supports Major Gift Officers, Alumni Engagement team and Senior Director of Major Gifts and Alumni Relations in traditional administrative capacity, including calendaring, travel arrangements, financial processes, email and phone correspondence, and report preparation

Other
  • Uses the University donor database (DART) to confirm donor data, run reports, and modify, update and upload alumni and alumni club data
  • Assists with small scale fundraising campaigns led by Ross School of Business constituents
  • Other administrative duties as assigned

Required Qualifications*
  • High school diploma or equivalent
  • Minimum of 3 years of experience in a support role, preferably in an academic setting
  • Outstanding customer service, interpersonal and communication skills
  • Ability to exercise discretion with sensitive and confidential information
  • Professional demeanor and presentation
  • Flexibility in work-style, ability to work both independently and as a team member
  • Excellent judgement; ability to function productively in an ever-changing, high stress, fast-paced environment while maintaining accuracy and attention to detail
  • Ability to prioritize workload, multi-task, and exercise initiative to meet or negotiate tight deadlines
  • Intermediate to advanced proficiency, speed and accuracy with Word, PowerPoint, and Excel; ability to learn and adapt to new computer software and technologies
  • Ability to follow instructions while working with diverse populations: colleagues, faculty, staff, students, alumni, and visitors

Desired Qualifications*
  • Associate degree
  • Knowledge of University policies, procedures, and regulations

Physical Demands/Work Environment
  • Requires the ability to travel to various locations to conduct work and deliver materials
  • The person in this position assists with set up of events and the execution of the events
  • The person in this position routinely communicates with external stakeholders about programs, events, activities, etc.
  • The person in this position routinely moves through the facility to attend meetings/events and access files or information
  • The person in this position routinely moves materials weighing up to 20 pounds and occasionally up to 50 pounds to deliver items, set up events, luncheons, etc.
  • May require work during early mornings, nights, and/or weekends
