Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System UTS 157, as applicable to the performance of essential duties and responsibilities of the position.

Purpose of Position

Under minimal supervision and with considerable latitude for the use of initiative and independent judgment, coordinates and supports the institution's enrollment plan according to university policies and regulations. Assists prospective graduate students with admissions and related initial enrollment processes. Keeps official records, and executes administrative policies determined by or in conjunction with other officials, within area of assigned responsibility.

Essential Functions

Serves as liaison between the Graduate School and several University departments or programs, developing and nurturing relationships with graduate students, faculty advisors, and other university stakeholders.

Provides graduate program knowledge and advice to prospective and current graduate students regarding the Graduate School admissions process.

Evaluates and processes admission applications of domestic and international students to include test scores, academic transcripts, and other related admissions documentation. Processes data transfer from external application systems to the student information system.

Reconciles error, diagnostic, and other admission processing reports to ensure the integrity of admissions data. This requires proficiency in the University's student information system and document management system.

Generates letters of admission and/or rejection to students. Replies to phone calls, composes correspondence and email to answer admission inquiries.

Conducts analysis of graduate studies milestones as established by Coordinating Board requirements, tracking prospects and applicants from recruitment to first year enrollment through completion (critical in supporting the increase of master's and doctoral degree programs).

Complies with all federal, state and University regulation and policies. Maintains knowledge and understanding of regulations related to Federal Financial Aid, Texas Residency Laws, etc.

Required Qualifications

Bachelor's degree

Four years of experience, related to the statement of duties and responsibilities; or equivalent combination of education and experience.

Preferred Qualifications

Knowledge of all Microsoft Office software and preferred knowledge of student information system (Banner), admission software and web site maintenance.
