Job Summary:

Position Summary:
Reporting to the Director of Development Services, the Assistant Director is responsible for overseeing the gift processing operations to ensure gifts are credited to appropriate accounts in accordance with donors' intent, enforcing University's gift acceptance policies for donations to the University. This position requires extensive knowledge of gift recording policies, as well as an ability to effectively manage multiple tasks and meet concurrent deadlines. The Assistant Director will supervise a team of three gift posters and is also expected to spend 20% to 30% of the time posting and reconciling gifts. The Assistant Director assist the Director and Associate Director with researching and resolving gift inquiries, researching historical information as to Banner designations as requested, creating and updating Banner and SalesForce designations, communicating with the Office of Accounting and Business Services

Job Responsibilities:

Hire and train staff responsible for gift recording, gift reconciliation, iModules gifts and bank lockbox transactions, cybersource gifts, recurring credit card charges, monthly pledge reminders, generation of receipts and letters.
Manage the recurring credit card payment schedules, as set forth by donors.
Periodically review and recommend changes to gift recording procedures.
Work with the Director to ensure adherence of gift posting procedures.
Assist the gift posters with questions on unclear gift/pledge intent and obtain the necessary gift documentation from donors and/or gift officers.
Assist gift officers with their requests for donor giving information and reports.
Review donor correspondence to determine if appropriate action necessary.
Communicate with the Office of Development, other University departments and off campus entities as to procedures and policies for receiving donations to the University.
Manage designations in Banner Advancement, including creation, updating, and maintaining.
Manage the monthly reconciliation of lockbox transactions and other external sources of gift submissions.
Manage daily work assignments of all gift posters.
Post donations to the Banner Advancement database, while maintaining a commitment to accuracy and attention to detail.
Ensure that all paperwork involved with all gifts is in order, and post gifts directly according to a donors wishes.
Uphold gift posting policies, including PCI Compliance for credit card processing.
Work with a diverse group that includes donors and high level internal employees on problem resolution for gifts and pledges.
Research and provide copies of gift documentation as it is requested by the office of Accounting and Business Services for general questions and during any scheduled audit operations.
Generate gift receipts and pledge reminders according to established procedures and run other database reports as needed.
Assist with donor record updates and pre-report generation database requests while providing meticulous attention to accurate data entry.
Utilize independent prioritization and organization skills.

Minimum Requirements:

o College degree in related area or equivalent experience.
o Strong written and verbal communication skills.
o Extensive knowledge of donation processing policies.
o Ability to work independently and in a team environment.
o Ability to work autonomously and to independently manage multiple tasks with concurrent deadlines.
o Meticulous attention to accurate and detailed work at all times.
o Assumes full responsibility for producing the highest quality level of work at all times.
o Must be customer service and team oriented.
o Experience working with database systems, word processing and excel spreadsheets.
