About the Position:
The Assistant Deans for Student Affairs department assist students in their matriculation at the university by providing an environment conducive to academic and personal growth. The Assistant Deans serve a vital role representing the division of Student Affairs within the academic colleges. Actively working with students, faculty and staff, the Assistant Deans integrate the holistic developmental philosophy of student affairs within the academic setting and engage the entire university community in academic and co-curricular learning. Assistant Deans for Student Affairs seek to engage members of the University in the process of student advocacy, community building and collaborative learning, thus facilitating student success. Services that fall under the Assistant Deans include: student advocacy, leadership development, research and assessment, scholarships, student involvement, counseling and referrals, event planning, enrollment management, orientation and advising. We are seeking an exceptional individual to join our team as an Administrative Support Coordinator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the direction of the Executive Director for Retention Initiatives, responsibilities include supporting the clerical and administrative functions of the Executive Director and Assistant Deans for Student Affairs Department. This includes ten Assistant Deans for Student Affairs housed in each of the eight Academic Colleges, International Programs, and Irvine. General duties of the position include budget tracking and management, departmental P-card reconciliations, coordinating travel, managing hiring documents and student time sheets, monitoring student payroll and federal work-study expenditures, managing IT requests and telecommunication usage, day-to-day operations of the department, and special projects to support the vision and direction of the department. The Administrative Support Coordinator II is responsible for providing high-level office support to students, faculty, staff, and community members. Plans, initiates, executes, and coordinates complex projects, activities, and events with accountability for results. Evaluates and makes recommendations related to operational and procedural matters. Uses knowledge of specialized policies and procedures to complete assignments. Responds to customers via email, telephone, and in person. Uses a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments. Coordinates and schedules meetings and events as needed. Coordinates and works with individuals at all levels within the organization. Responsible for completing multiple work unit projects and priorities simultaneously. Provides lead work direction, training, and guidance to others as needed. Other duties as assigned.



Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
