Responsibilities:

The Administrative Resources Center (ARC) of the College of Engineering is seeking an Administrative Assistant, who will be the first point of contact for the office, covering the front desk, and greeting and welcoming all incoming visitors and meeting attendees. Reporting to the Human Resources Administrator and Associate Dean of ARC, he/she performs a variety of duties including but not limited to: provides administrative support to the Associate Dean, purchases and maintains office supplies for ARC, completed expense reimbursement process with necessary departments, performs account reconciliation, handle all contract processes, and meeting and small event logistics. He/she will assist in a wide range of projects to support the administrative processes, special initiatives and programmatic needs.
This position requires extensive interaction with many internal/external stakeholders; principally this will be Northeastern's College of Engineering unit heads, faculty and staff, but also includes external groups (e.g., current students, external visitors, vendors).

Qualifications:

Associates degree required; Bachelors degree preferred. Two to three years of administrative experience in a professional setting; demonstrated effective written and verbal communications skills along with interpersonal and organizational capabilities required; excellent attention to detail with critical thinking skills, project management skills, excellent initiative and self-motivation with flexibility to work under deadlines; and customer service skills. Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must possess a thorough knowledge of professional office procedures, and demonstrate good judgment, discretion and problem solving skills. Should be willing to assist on an as-needed-basis in a variety of administrative, academic, and event and conference planning tasks. Ability to prioritize and manage ongoing projects at the same time.
Strong administrative and computing skills, including Microsoft Office Suite, presentation, Outlook email, spreadsheet and database software are essential. Calendar management experience necessary. Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must be able to take initiative and follow through on tasks independently.
In this fast-paced office, the successful candidate will be extremely adept at planning and prioritization, tactful communication, and will possess a strong organizational background along with ability to be flexible, professional, and creative in responding to requests with very short turnaround.
